What this job involves:

We are seeking a highly organized and detail-oriented professional to join our team as a Knowledge Management Coordinator. In this role, you'll provide essential support to our Sales organizations and Proposal Management teams, directly impacting revenue opportunities for a Fortune 200 company. Working alongside and in support of our Knowledge Management Lead, you'll assist with a range of data and statistics initiatives, ensuring the seamless flow of information and helping our teams deliver high-quality proposals. This position requires an individual who can coordinate with a variety of requesters across multiple teams and who can proactively prioritize initiatives and requests with differing deadlines. You'll matrix-report to the Knowledge Management Lead and partner with Content, Sales, and Pursuit team members as needed, often in a virtual capacity. The ideal candidate must seek to understand the JLL business and organization, including our services, and be willing to dive into the data and build relationships across the company to solution for our knowledge management needs. What your day-to-day will look like:
  • Answer requests for data via our intake form, proactively asking questions and coordinating with the KM Lead to provide answers or research needed information while managing multiple requests with different data needs and deadlines

  • Maintain and update a variety of data sheets, working with stakeholders and teams to ensure accuracy, including tracking country-specific statistics in spreadsheets and other databases

  • Review submitted RFPs for data points and information such as client references used and new content

  • Upload and manage documents in SharePoint and Seismic, ensuring content is organized and accessible

  • Produce work that is on brief, on time, and on target to business objectives with exceptional attention to quality

  • Provide exceptional client service by meeting deadlines and proactively identifying issues that impact time service commitments for the team

  • Look for ways to improve our established operational procedures and bring innovative solutions to enhance efficiency

  • Take on full ownership and day-to-day project management of assigned work, demonstrating accountability for your decisions

Required qualifications:
  • Minimum of 3-8 years of relevant experience in traffic management, content delivery, project management, or related fields

  • Proven ability to work effectively in a fast-paced, deadline-driven environment with consistently high levels of organizational skill and customer service

  • Strong organizational, analytical, problem-solving, and multi-tasking skills

  • Excellent time management and prioritization skills with the ability to balance competing demands

  • Command under pressure and stress with a pragmatic approach to problem-solving

  • Adaptability to new situations and comfort with change

  • Strong collaboration skills with the ability to work across teams and functions

  • Excellent written and verbal communication skills

  • Proficiency in English language

  • Demonstrable ability to work proactively and autonomously while being accountable for own decisions

Preferred qualifications:
  • Strong writing and proofreading skills

  • Experience working in a virtual or matrix-reporting environment

  • Familiarity with SharePoint and Seismic or similar content management platforms

  • Knowledge of the commercial real estate industry or professional services environment

  • Experience supporting sales or business development teams
