Job Summary
The Junior Proposal Coordinator will help organize proposal efforts, prepare and format documents, track requirements and assignments, maintain opportunity information, and keep proposal activities moving on schedule.
Primary Responsibilities
- Review RFPs, RFQs, RFIs, and other solicitations to identify requirements, deadlines, forms, and submission instructions
- Create proposal checklists, compliance matrices, templates, calendars, and task lists
- Track assignments and deadlines and follow up with contributors to keep proposal efforts on schedule
- Format, assemble, proofread, and copy edit proposal documents for consistency, accuracy, and compliance
- Populate proposal templates using approved company information and reusable content
- Maintain organized proposal files, templates, and content libraries in SharePoint
- Keep opportunity information, deadlines, documents, and status current in HubSpot and SharePoint
- Conduct basic research to identify potential government and public-sector opportunities
- Assist with final quality-control reviews and proposal submission preparation
Required Knowledge, Skills, and Abilities
- Strong organization, attention to detail, and follow-through
- Strong writing, proofreading, grammar, and reading-comprehension skills
- Ability to manage multiple assignments and deadlines
- Comfortable using Microsoft Word, Excel, PowerPoint, Outlook, and Teams
- Ability to learn SharePoint, HubSpot, and government procurement processes
- Associate's or bachelor's degree completed or in progress preferred
Preferred Knowledge, Skills, and Abilities
- Prior proposal, government contracting, HubSpot, or SharePoint experience is helpful but not required.
