Responsibilities

End-to-End Lien Perfection

  • Manage the complete lien perfection workflow.
  • Review incoming case information and documentation for completeness and accuracy.
  • Initiate the lien perfection process in accordance with established client requirements and internal procedures.
  • Prepare and issue lien notices, correspondence, requests for documentation, and other required communications.
  • Obtain and organize supporting documentation necessary to perfect liens.
  • Communicate with attorneys, insurance carriers, healthcare providers, claims representatives, and other third parties as necessary to obtain required information.
  • Conduct timely follow-up on outstanding requests and maintain appropriate documentation of all communications.
  • Track deadlines, responses, documentation, and case status throughout the lien perfection lifecycle.
  • Review returned documentation to confirm that lien requirements have been satisfied.
  • Identify incomplete, inconsistent, or deficient documentation and take appropriate action to resolve the issue.
  • Escalate complex or disputed matters in accordance with established procedures.
  • Maintain accurate and complete electronic case files.
  • Ensure matters progress through each stage of the workflow in a timely manner and are properly documented upon completion.
  • Coordinate filing fees and payments by working with the finance department.

Research & Analysis

  • Conduct legal, factual, and administrative research relevant to the lien perfection process.
  • Research applicable statutes, regulations, plan provisions, lien requirements, and other authoritative sources as directed at a county level.
  • Review legal and healthcare-related documents to determine whether required information has been provided.
  • Analyze case documentation and correspondence to identify missing information, inconsistencies, or potential issues.
  • Use internal databases and external research tools to locate and verify information.
  • Maintain organized records supporting research conclusions and process fluctuations.

Financial & Administrative Support

  • Provide backup assistance with remote deposits as directed by the Senior Accountant.
  • Assist with preparing and mailing return-to-sender checks under the direction of the Senior Accountant.
  • Assist with preparing and mailing refunds according to established procedures and instructions from the accountant.
  • Assist with basic deposit and payment balancing activities as assigned.
  • Maintain organized records and documentation related to deposits, returned checks, refunds, and other financial items.
  • Perform routine data entry and administrative tasks related to financial transactions.
  • Support the accounting team with other basic financial and administrative tasks as needed.
  • Follow established procedures and seek guidance from the Accountant or Senior Manager when questions or discrepancies arise.

Client & Workflow Management

  • Follow client-specific processes, procedures, and service-level requirements.
  • Maintain a high level of responsiveness and professionalism when communicating on behalf of the company or client.
  • Ensure all client requirements are consistently followed and properly documented.
  • Manage a high volume of matters while maintaining accuracy and attention to detail.
  • Meet established productivity, quality, and turnaround-time expectations.
  • Proactively identify workflow bottlenecks and recurring issues.
  • Work collaboratively with attorneys, paralegals, case managers, and operations personnel.
  • Assist with process improvement initiatives designed to improve efficiency, accuracy, and client service.
Qualifications
  • Associates degree and/or paralegal certificate preferred.
  • 1–3 years of experience in a paralegal, legal operations, healthcare, insurance, claims, or related administrative role.
  • Strong attention to detail and exceptional organizational skills.
  • Ability to manage a high volume of matters with competing deadlines.
  • Strong written and verbal communication skills.
  • Excellent research and information-gathering skills.
  • Ability to review and interpret legal, healthcare, insurance, and financial documentation.
  • Strong analytical and problem-solving skills.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • Ability to follow detailed procedures while exercising appropriate judgment when issues arise.
  • Professionalism and discretion when handling confidential client, patient, legal, and financial information.

  • Experience in a law firm, healthcare organization, insurance company, claims environment, or legal services organization.
  • Experience with lien processing, lien perfection, lien administration, claims administration, or document-intensive legal workflows.

  • Experience working with case management or workflow management systems.
  • Intermediate Excel skills, including sorting, filtering, and data reconciliation.

The posted range is the hiring range for this role — a subset of the broader range available to employees over time — and reflects base salary across our national hiring scale. Final offers are based on several factors, including the candidate's skills and experience, internal pay equity, work location, market conditions for the role, and the specific scope and responsibilities of the position. The top of the range is reserved for candidates who notably exceed the requirements; the lower end applies to those with less experience or fewer preferred qualifications. For positions based in higher-cost zones (e.g., California, New York, New Jersey), actual compensation may exceed the posted range; your recruiter will share specifics during the process.
