The Order Management Specialist will act as a bridge between the regional Sales team and the Central Logistics team to support Global sales operations. The role is responsible for implementing and managing order administration functions to ensure a smooth order handover and logistics workflow.

Tasks and Duties

  • Processing Opportunities, Sales Orders, Deal Registration, Incentives, returns (Trade-in RMA), and credits globally in CPQ
  • Ensure order accuracy for both customer satisfaction and team effectiveness
  • Follow all privacy procedures to protect client information
  • Support fulfillment by working with team members and departments to resolve order issues and ensure timely processing
  • Work with Account Managers regarding orders, projects, policy changes, promotions, and customer complaints
  • Ensure compliance with company policies when working with Partners and Direct Customers
  • Collaborate with Operations and Customer Support to assist Partners and Customers
  • Suggest changes to sales and processing workflows based on observations
  • Respond to incoming emails and phone calls
  • Ensure Sales team adherence to processes, identify areas for improvement, and promote efficiency
  • Support requests for price verifications, purchase orders, changes, or cancellations from Partners and Customers
  • Respond promptly to customer inquiries and provide courteous service, including questions regarding products, pricing, delivery times, warranties, and general support
  • Redirect Partners and Customers to Finance for credit or financing arrangements
  • Proactively coordinate equipment delivery with Logistics, Sales, and Assembly teams
  • Prepare or update shipping documentation as needed

Requirements
  • 2-5 years of experience in import/export processes; experience in purchasing management is an advantage.
  • Experience with an ERP system or Business Central.
  • Fluent English is a must, and German should also be at a decent level.
  • Strong interpersonal and communication skills.
  • Ability to prioritize tasks and work effectively under pressure.
  • Highly organized, detail-oriented, and accurate.
  • Strong team player.
  • Ability to learn and understand complex concepts and processes quickly.
  • Strong sense of responsibility and customer service orientation.
