The Junior Executive Assistant provides daily support to key members of our Executive Leadership Team and will report to the Senior Executive Assistant. The job entails frequent scheduling, communication facilitation, meeting coordination, and other various activities. It is based in the Aptos company headquarters in the Alpharetta office.
Roles & Responsibilities:
- Administrative Support: Provide support to multiple C-level executives, including managing schedules, calendaring global appointments, organizing meetings, and maintaining records.
- Document Preparation: Prepare and edit documents, presentations, and reports accurately and professionally.
- Communication: Handle phone calls, emails, and other forms of communication, responding to inquiries and directing them as necessary.
- Office Management: Assist in maintaining office supplies, managing inventory, and coordinating with vendors for necessary services.
- Data Entry: Accurately input and update data in various systems, ensuring current and reliable information.
- Event Coordination: Assist in planning and coordinating company events, meetings, and conferences.
- Travel Arrangements: Arrange domestic and international travel itineraries, accommodations, agendas, and logistics- complete expense reports through the online system.
- Confidential: Compose and prepare confidential communications.
- Other Duties: Perform other related duties as assigned to support the smooth running of the office.
Qualifications:
- Experience: 2-5 years of administrative support in a corporate environment, supporting executive-level leaders.
- Education: A high school diploma or equivalent is required; an associate or bachelor’s degree is a plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Web-based travel and expense reporting system knowledge is a plus.
- Communication Skills: Excellent verbal and written communication skills.
- Organizational Skills: Strong attention to detail, ability to multitask, and effective time management.
- Interpersonal Skills: Professional demeanor with a customer-service orientation. The ability to build relationships with cross-cultural stakeholders, including staff and external partners.
- Problem-solving: Ability to handle various tasks simultaneously and adapt to changing priorities.
- Influencing Skills: Ability to work across all levels of the organization.
- Confidentiality: Ability to handle sensitive information with discretion and integrity.
- Work in a Hybrid environment: Required Tuesdays, Wednesdays, and Thursdays in the Alpharetta office.
- The pay range for this position is between $60,000 and $80,000 plus Incentive Bonus. Starting salary may vary based on a number of factors including, but not limited to, the position being offered, location, education, training, and/or experience.
