Job Description

We are looking for a Junior Contract Management Specialist to support our Services Sales team and the Contracts Management function within our Customer Success organization. This entry-level role is ideal for an aspiring contract management or paralegal professional with a keen interest in SaaS and Customer Success services agreements. You’ll assist in structuring, enforcing, and maintaining accurate records of our Customer Success services contracts.

Role Overview

As a Junior Contract Management Specialist, you will collaborate closely with Sales, Customer Success, and Legal teams to ensure contracts are crafted and processed according to corporate guidelines. Reporting to the Contract Management Team Leader, you’ll be responsible for maintaining accurate records, ensuring compliance, and assisting in contract review and structuring.

Key Responsibilities

  • Contract Structuring Support:
    • Assist the Services Sales team in drafting and structuring Customer Success services agreements in line with corporate policies.
    • Perform initial reviews and edits of contract drafts, working to maintain consistency with company standards and best practices.
    • Support the Senior Contract Management Specialist in finalizing agreements to manage risk and align with corporate guidelines.
  • Contract Administration & Compliance:
    • Ensure contract terms and obligations are accurately recorded and reflected in company systems.
    • Support the enforcement of contract terms by monitoring compliance and addressing any inconsistencies.
    • Serve as a point of contact for contract-related inquiries, escalating complex issues as necessary.
  • Cross-functional Collaboration:
    • Collaborate with Customer Success, Legal, and Operations teams to ensure smooth execution of contract-related processes.
    • Assist in training and knowledge-sharing initiatives within the Contracts Management team to promote best practices.

Accountabilities

  • Accuracy: Ensure all contract data is entered accurately in systems of record, reflecting contract terms and obligations.
  • Compliance: Monitor contract adherence, following escalation processes for compliance issues.
  • Efficiency: Assist in achieving efficient contract processing, maintaining a timely turnaround for standard agreements.

Key Metrics

  • Data Accuracy: Achieve 98%+ accuracy rate in recording contract terms in the system.
  • Turnaround Time: Support timely processing of standard agreements, maintaining an average review and entry time per agreed service levels.
  • Compliance Adherence: Maintain consistent 90%+ compliance with corporate contract standards and guidelines.
  • Support Effectiveness: Demonstrate effective support for Sales and Senior Contract Management through prompt response and issue resolution.

Qualifications

  • Experience: 1-2 years of experience in contract management, paralegal work, or a related administrative role; experience in SaaS or IT services is a plus.
  • Education: Bachelor’s degree in Legal Studies, Business Administration, or related field (Paralegal Certification is an advantage).
  • Technical Skills: Proficiency in contract management software, CRM systems, and MS Office Suite.
  • Soft Skills: Strong attention to detail, excellent communication skills, and a proactive approach to problem-solving.
