As a HR Generalist for Japan, you’ll play a vital role in delivering smooth day-to-day HR operations and creating a positive employee experience at every stage of the employee lifecycle.
You’ll be responsible for payroll, recruitment coordination, onboarding and offboarding, managing employee data, and ensuring compliance with Japanese labor laws and company policies.
Reporting to the HR Business Partner for Japan, you’ll also support various HR initiatives and collaborate with both regional and global HR teams to drive operational excellence.
Your responsibilities include:
Recruitment Operations
Coordinate the full recruitment process including job postings, interview scheduling, and communication with candidates.
Liaise with hiring managers to ensure timely and efficient hiring processes.
Prepare and issue offer letters and new hire documentation.
Onboarding & Offboarding
Coordinate new hire onboarding, including orientation scheduling, system set-up, and compliance documentation.
Facilitate smooth offboarding for departing employees, including processing final documentation and system deactivation.
Conduct administrative support for probation and confirmation processes.
Payroll & Employee Data Management
Process and validate monthly payroll data in collaboration with external vendors and the finance team.
Ensure payroll accuracy, legal compliance, and timely reporting.
Maintain and update employee records in the HRIS system.
HR Administration & Compliance
Ensure HR practices are in line with Japanese labor laws and internal policies.
Support HR audits and prepare documentation for labor inspections if required.
Administer benefits, leave management, and employee status changes.
Employee Support
Guide employees through administrative processes and ensure timely response to requests.
Support for HR Initiatives
Assist the HRBP in executing employee engagement and welfare programs.
Support training coordination and internal communication efforts.
Assist in HR reporting and metrics tracking for internal stakeholders.
You have strong attention to detail and ensure everything is accurate, compliant, and well-executed.
You have a customer-focused mindset and approach employee requests with a helpful, solution-oriented attitude.
You have excellent time management skills and can handle multiple priorities and tight deadlines.
You have a high level of discretion and integrity when dealing with confidential employee information.
You have a collaborative attitude and work well with both the HR team and cross-functional partners.
You have clear and effective communication skills in both Japanese and English.
A Bachelor’s degree in HR, Business Administration, or a related field.
At least 2 years of experience in an HR generalist or operations role in Japan.
Solid knowledge of Japanese labor laws and HR compliance.
Hands-on experience with payroll, recruiting coordination, and employee admin tasks.
Proficiency with HRIS systems and Microsoft Office tools.
Fluency in Japanese and business-level English.
Your proactive mindset, eye for detail, and ability to stay organized and independent will be key to making a real impact in this role.
