This opportunity entails managing the entire lifecycle of IT assets, aiming to optimize value, control costs, manage risks, support decisions regarding purchase, re-use, and retirement of assets, and comply with regulatory and contractual requirements. This role requires excellent organizational, analytical, and negotiation skills, as well as the ability to manage vendor relationships, maintain accurate asset records, and streamline asset management processes to support the organization’s technology compliance and needs. Utilizes standard procedures and practices and receives regular guidance from others.

What You’ll Do:

  • Executes IT procurement activities for one focus area (Telecom, Hardware, or Software) in a cost-effective manner while delivering a high level of customer service. Provides feedback to end users for products and services. Ensures IT orders adhere to supplier agreements and contracts and reports any nonconformance.
  • Performs reconciliation and check request procedures. Codes and processes invoices related to the Corporate and IT related account codes
  • Maintains best practices for asset life cycle management in line with corporate, environmental, and technical policies.
  • Utilizes the asset management system to maintain IT asset records, including addition of new assets, updates to existing assets, or removal of assets no longer owned by the firm.
  • Maintains records of status for various hardware and software and monitors HNTB employee utilization and compliance. Functions in a backup capacity to download new software and software updates.
  • May set up web hosting accounts/sites and manages contracts/billing.
  • Assists in the ongoing management of the HNTB Service Catalog.
  • Updates existing forms, creates new forms, and deletes obsolete forms.
  • Learns the processes for statements of work (SOWs), requests for information (RFIs), requests for quotations (RFQs) and requests for proposal (RFPs).
  • Tracks obligations, deliverables and contract change notes.
  • Responds to software vendor audits, license validation requests, and internal audit requests.
  • Performs other duties as assigned.

What You’ll Need:

  • Bachelor's degree in Computer Science, Finance, Accounting, IT, Engineering, Business Management, or related degree, or
  • In lieu of education, 4 years computer science, finance, accounting, IT, engineering, business management or related experience

What You'll Bring:

  • Has foundational procurement and accounting knowledge as well as a basic understanding of PO systems.
  • Develops comprehension of working agreements such as SOWs and how details outlined in contracts and/or agreements impacts budgets and the general ledger.
  • Develops basic knowledge of procurement activities related to telecom, hardware, or software used within the IT procurement team.

  • Demonstrated communication skills with a proven ability to understand key concepts and communicate effectively with technical staff, business stakeholders and management. Team player.
  • Organization skills, data processing, problem-solving and quality management skills.
  • Experience in process formulation and improvement. Challenges current methods and seeks alternatives.
  • Strong financial accounting and reporting practices applicable to IT assets, costs and risks.
  • Understanding of strategic business objectives and the ability to drive results towards those objectives.
  • Spontaneously recognizes and resolves issues.
  • Attention to detail, accuracy, process-oriented and organized.
  • Demonstrates appropriate BE Characteristics in accordance with HNTB expectations.
