What You’ll Do
You'll provide high-level administrative support to the Information Technology department, helping keep operations organized, projects on track, and leadership focused on strategic priorities. This role coordinates meetings, schedules, reporting, hiring activities, and department communications while serving as a key resource for day-to-day IT administrative operations.
- Provide administrative support to IT leadership, including calendar management, meeting coordination, travel arrangements, and executive scheduling.
- Prepare meeting agendas, compile materials, record minutes, and track action items to ensure timely follow-up.
- Coordinate department projects and monitor progress to help ensure deadlines and deliverables are met.
- Prioritize competing requests and proactively manage multiple tasks in a fast-paced environment.
- Assist with the IT recruitment process by conducting applicant phone screens, scheduling interviews, coordinating interview logistics, and processing new hire and internal transfer paperwork.
- Review and process IT leadership time cards and PTO requests.
- Compile, prepare, and distribute recurring and ad hoc reports for leadership.
- Gather and analyze data to support department initiatives and create reports using independent judgment.
- Prepare monthly IT inventory reports for Finance.
- Create and submit purchase requests (PRs) on behalf of IT leadership.
- Track recurring agenda items, projects, and follow-up actions to ensure continuity and accountability.
- Perform other duties as assigned.

- Ability to understand basic financial management, ordering, and budgetary considerations required.
- Experience in healthcare or other regulated industries preferred.

Skills Required
- Organized and detail-oriented with ability to manage multiple priorities
- Strong written and verbal communication skills and ability to maintain confidentiality
- Calendar management, meeting coordination, travel arrangements, and executive scheduling experience
- Experience preparing agendas, recording minutes, tracking action items, and compiling materials
- Experience coordinating projects, monitoring progress, and prioritizing competing requests
- Experience supporting recruitment activities (phone screens, interview scheduling, processing new hire/internal transfer paperwork)
- Ability to compile, analyze data, and create recurring and ad hoc reports
- Ability to create and submit purchase requests and prepare monthly IT inventory reports; basic financial management and budget understanding
