Position Summary
The IT Administrative Assistant is responsible for delivering exceptional performance in their role, upholding and embodying the property’s Core Values. This position ensures the flawless, streamlined execution of daily IT operations, setting a polished and reliable tone for our team members and guests. By providing responsive, high-quality technical and administrative support, managing critical inventory, and maintaining organized communication, the IT Administrative Assistant contributes directly to the property’s reputation for excellence as an exclusive, world-class wilderness retreat.
Key Responsibilities
• Responsive Tech Support & Service Excellence: Act as the on-site first point of contact for technical questions, delivering basic troubleshooting for software, hardware, and network issues via ticketing, Teams, phone, or in person.
• System Administration & Ticket Management: Perform basic account setup tasks (password resets, user onboarding/offboarding, Active Directory/Azure permissions) while logging, tracking, and documenting all issues accurately in the IT system.
• Asset Coordination & Inventory Management: Maintain complete ownership over IT asset tracking, managing the inventory of computers, peripherals, and software licensing, while facilitating seamless vendor communications and procurement.
• MSP Partnering & Escalations: Monitor tickets handled by our Managed Service Provider and ensure complex, unresolved issues are swiftly escalated to Tier 2 or Tier 3 support teams.
• On-Site Audio-Visual Support: Manage, set up, and troubleshoot audio-visual and video conferencing equipment for corporate spaces or events, providing flexible morning, evening, and weekend support as requested.
• Operational Documentation & Guides: Maintain and create clear internal documentation, knowledge base articles, and FAQs heavily relied upon by operational departments and external support partners.
• Brand Standards & Professionalism: Maintain a clean, professional appearance and a hospitality-driven demeanor, handling all sensitive data and guest transactions legally, ethically, and with strict confidentiality.
• Perform additional duties within other departmental spaces as assigned by the Associate Director of Technology.
Qualifications
• High school diploma or GED required; a strong interest in technology is required, and a basic understanding of IT operations is preferred.
• Excellent written and verbal communication alongside strong interpersonal, time-management, and organizational skills.
• Friendly, professional demeanor with a knowledge of world-class hospitality and service management that aligns with luxury standards.
• Ability to work independently and collaboratively in a fast-paced, high-expectation environment.
• Valid driver’s license with at least two years of clean driving experience.
Physical Requirements
• Ability to sit, stand, walk, climb stairs, and move around the resort grounds for extended periods.
• Ability to lift, carry, reach, push, pull, and balance computer hardware, peripherals, and IT inventory.
• Ability to work flexible hours, including seasonal weekend coverage, evenings, and holidays, as required by business needs.
