The IPGS Coordinator II is an individual contributor role responsible for independently performing recurring patent docketing and coordination activities under general supervision. The role applies established procedures, exercises judgment within defined guidelines, and supports attorneys and managers by ensuring accuracy, timeliness, and integrity of IP docketing data. Novel, unusual, or high‑risk issues are escalated to appropriate legal or managerial stakeholders.
ROLE RESPONSIBILITIES
- Independently performs recurring patent docketing activities using established procedures, including review of incoming correspondence and entry of key dates, codes, and actions into IP systems.
- Provide comprehensive operational and procedural support to European patent attorneys across prosecution and post‑grant matters.
- Assist with EP regional phase entries and divisional applications by supporting EP filing coordination, docketing, liaison with EP attorneys and cross‑checking Euro‑PCT filings for accuracy and completeness.
- Support EP post‑grant activities, including allowance communications (liaison with attorneys, coordination of translations, and filing responses), Unitary Patent Court opt‑out requests, and post‑grant formalities such as validations.
- Supports data integrity activities by performing system‑generated checks and escalating discrepancies or anomalies for review.
- Additional projects as needed by management such as report generation, docket comparisons, invoice review, or electronic filing.
- The role operates under general supervision, applies established procedures, and contributes to team outcomes through execution rather than leadership.
BASIC QUALIFICATIONS
- Bachelor's degree
- Ability to exercise judgment within defined parameters and escalate non‑routine or novel issues appropriately.
- Strong attention to detail required.
PREFERRED QUALIFICATIONS:
- Introductory Certificate in Patent Administration (CIPA) and/or some relevant intellectual property formalities experience gained in a law firm or in-company with a focus supporting pharmaceutical or biopharmaceutical companies.
- Demonstrated proficiency in IP Portfolio Management systems and document management systems including some exposure to the maintenance of underlying rules within these.
