Job Summary:Under moderate supervision, the Business Solutions Invoicing and Reconciliation Manager is responsible for overseeing the invoicing, collection, and reconciliation of payments received for Business Solutions group accounts.
The Business Solutions Invoicing and Reconciliation Manager’s main duties include hiring and training employees and managing their team in the day-to-day performance of their duties with a primary focus on account reconciliation through the balancing and application of group client payments as well as past due account management.
The Business Solutions Invoicing and Reconciliation Manager is responsible for directing teams to develop, execute and complete assignments. This role will evaluate their department’s current performance metrics and will develop plans, goals, and strategies to help improve these metrics. The Business Solutions Invoicing and Reconciliation Manager organizes team roles and evaluates employee performance. This position requires flexibility to work various shifts as needed and will be a partner with the Business Solutions Directors and VP team in managing resources in real time.
The Business Solutions Invoicing and Reconciliation Manager will have the ability to motivate and coach employees, plan and develop projects, and make operational and process decisions. This role will also have organization and delegation skills, exceptional attention to detail, time management, and creative problem-solving skills.

Responsibilities:

Performance Outcomes

Invoicing Management

  • Oversee the preparation and issuance of invoices for employee benefit group accounts.
  • Ensure all invoices are accurate, timely, and in compliance with company policies and contractual agreements.
  • Monitor invoicing processes to identify and resolve discrepancies promptly.

Payment Collection

  • Supervise the collection of payments from clients, ensuring timely receipt and proper recording.
  • Develop and implement strategies to improve the collection process and reduce outstanding balances.
  • Address and resolve any payment-related issues with clients and internal stakeholders.

Reconciliation

  • Oversee the reconciliation of accounts receivable, ensuring all payments are accurately applied and discrepancies are resolved.
  • Collaborate with others to ensure seamless integration of payment data into financial reports.

People Management

  • Accomplish department objectives by monitoring progress and ensures a high degree of team effectiveness 
  • Ensure information is properly shared and available to enforce policies, procedures, and productivity standards
  • Communicate job expectations to staff
  • Coach, counsel, and provide feedback
  • Develop self and others- focusing on constant improvement
  • Maintain quality service by enforcing quality and service standards
  • Analyze and resolve quality and service concerns
  • Receive escalated calls from team members
  • Facilitate the constructive resolution of conflict, encourage cooperation, diversity, and teamwork to build a successful, cohesive unit within the organization
  • Understand customer needs and expectations

Procedures and Systems

  • Recommend system or process improvements to improve overall service provided
  • Contribute to overall team effort by assisting with special projects and interactions with peers.
  • Provide frequent status and progress reports on a weekly basis to Director
  • Other duties as assigned, including but not limited to, account research and follow-up, special projects, etc.


 

Additional Information:

Education, Knowledge, and Experience

  • High school diploma or GED or equivalent; some college preferred
  • Has met or exceeded performance expectations in previous positions
  • Extensive Leadership or LegalShield experience
  • Proficient in Word, Excel, and PowerPoint
  • Basic knowledge of computer applications including but not limited to System I, Talkdesk, Sharepoint
  • Strong written and verbal communication/presentation skills
  • This position requires the ability to manage relationships both internally across the company and externally.
  • Ability to coach employees effectively 
  • Ability to adapt to change
  • Results driven self-starter with a high level of initiative
  • Must maintain a high level of confidentiality with employee records, projects, and other company restricted information.
  • An ability to handle multiple deadlines, while working independently and maintaining a high degree of attention to detail, organization, accuracy, and sense of urgency.
  • Requires an individual with a positive professional attitude who can successfully demonstrate the ability to perform and provide results in a fast-paced environment while working individually or as a part of a team to meet strategic objectives.

Employee has regular and predictable attendance and punctuality with the ability to work on critical business days as deemed necessary, including some evenings and weekends.
