HedgeServ Luxembourg, established in 2014, provides customised fund administration services to a global client base. Employing 40 employees in our Kirchberg office, specializing in Fund Accounting and Transfer Agency Services, we deliver client focused solutions on a daily basis covering multiple Luxembourg investment vehicles such as UCITS, SIF’s UCI’s and RAIFs. The Investor Services and Transfer Agency Team is primarily responsible for Client and Investor communication, maintenance of the Fund register, processing of Investor transactions & payments, and managing a suite of Client and Investor reporting.
As an Investor Services Administrator based in Luxembourg, you will provide support and assistance to the team Supervisor and Manager in the operational running of the team, the adherence to HedgeServ Policies and Procedures and the promotion of best practice within the Investor Services department. The Investor Services Administrator will also liaise directly with the Client and with their counterparts in other HedgeServ offices to ensure a consistency in policies with adherence to local standards.

Key Accountabilities of the Role
HedgeServ operates a client focused structure which provides a wide-range of experience to all levels of employees. As such, the successful candidate should be flexible and willing to adapt. The below list is not finite and may be added to. The combination of tasks required to be executed will vary depending on both client structure and client requirements:
Review investor transaction instructions to ensure all requisite information is provided. Follow-up with investor for further clarification where required
Input Investor Transactions on Hedge Investor
Preparation of wire transfers to collection accounts, investors and for payment of fees
Reconcile the collection accounts daily, and notify all discrepancies to supervisor
Ensure appropriate Tax and AML/KYC documentation is provided by investors
Investor Reporting – prepare investor reports, including but not limited to Investor Statements and Contract Notes for distribution to investors
Reporting – prepare daily, weekly and monthly reporting to Client, the Manco and/or investors
General Investor Services – fielding general requests from investors on transactions and/ or account openings activities whilst at all times ensuring that all communication is with an authorized person
Perform other administrative tasks as may be required for the servicing of the Client and it’s investors
Establish good working relationships with other HedgeServ departments
Technical knowledge, skills and experience
University degree and/or professional qualification is an advantage
Fluent written and spoken English is required
6 months to 1 year previous corporate experience being an advantage
Detail oriented
Ability to work accurately to deadline
Focused and results orientated
Self-motivated and have the ability to work on their own as well as part of a team
IT literate with skills in Word/Excel/Outlook
Strong verbal and written communication skills, with the ability to communicate effectively and in a timely manner
