International Operations Specialist- Ocean Imports
Position Summary
The Ocean Imports International Operations Specialist is responsible for managing full-cycle ocean import shipments from origin through final delivery. This role serves as a primary point of contact for customers, overseas agents, carriers, and vendors while ensuring shipments move efficiently, documentation is accurate, and customer requirements are met. The position requires strong communication, problem-solving, and organizational skills to manage multiple shipments in a fast-paced international logistics environment.
Essential Duties and Responsibilities
Shipment Management
- Manage cradle-to-grave ocean import shipments using CargoWise and other transportation management systems.
- Create and maintain shipment files, quotes, tracking information, and freight management documentation.
- Monitor shipments to ensure timely movement and delivery.
- Coordinate shipment activity with overseas agents, carriers, customers, and vendors.
Documentation and Compliance
- Prepare, review, and maintain shipping and import documentation.
- Ensure shipment records are complete, accurate, and maintained in company systems.
- Support compliance with company procedures and applicable import regulations.
- Maintain organized electronic records and customer files.
Customer and Vendor Communication
- Communicate regularly with customers, vendors, carriers, and overseas agents regarding shipment status and requirements.
- Respond to inquiries and provide shipment updates in a timely manner.
- Coordinate the exchange of documentation and operational information among all parties.
- Handle inbound and outbound calls related to shipment management and issue resolution.
Pricing and Coordination
- Work with overseas agents to negotiate rates that meet customer requirements.
- Assist in preparing freight quotations and shipment cost information.
- Coordinate transportation and service providers to support customer needs and delivery requirements.
Problem Resolution
- Identify and resolve shipment issues, delays, or discrepancies.
- Communicate exceptions and corrective actions to customers and stakeholders.
- Apply critical thinking and sound judgment to address unexpected operational challenges.
- Escalate non-standard issues to management when necessary.
Education and Experience
- Bachelor’s degree preferred in Supply Chain Management, International Business, Project Management, or a related field.
- Logistics, transportation, freight forwarding, supply chain, or customer service experience preferred.
- Experience coordinating multiple tasks and priorities in a fast-paced environment preferred.
Knowledge, Skills, and Abilities
- Strong communication skills with the ability to effectively interact with customers, vendors, and service providers.
- Excellent attention to detail, particularly regarding shipment documentation and data entry.
- Strong problem-solving and analytical skills.
- Ability to manage multiple shipments and deadlines simultaneously.

Technical Skills
- Proficiency in Microsoft Office applications, including Outlook, Excel, and Word.
- Experience using CargoWise or similar transportation management systems preferred.
- Ability to manage electronic documentation and shipment records.
Physical Requirements
- The ability to sit for extended periods
- Occasional lifting of light materials (if applicable)
