Overview

We are looking for an Inside Sales Support Specialist to support our Belgian sales organization.

In this role, you will provide commercial, administrative, and operational support to ensure a seamless customer journey—from inquiry and quotation through order follow-up and post-sale coordination. You will work closely with account managers, inside sales teams, sales leadership, and cross-functional partners to maintain accurate customer and opportunity information, prepare high-quality sales documentation, and ensure timely follow-up on customer and internal requests across Belgium.

Please note that for this position we require fluent Dutch, French and English language knowledge. 

Our office located in Lokeren (Belgium), and we have a hybrid working policy (3 days onsite and 2 days home office/week).

How You'll Make an Impact
  • Prepare, review, and follow up on quotations, proposals, pricing documentation, customer requests, sales agreements, and internal approval workflows in line with company policies and customer expectations.
  • Maintain accurate customer, contact, account, opportunity, contract, quotation, and activity records in CRM, Salesforce (SFDC), and order management systems to support forecasting, pipeline visibility, reporting, and follow-up activities.
  • Respond to customer and internal inquiries regarding products, product availability, quotation status, order progress, account information, e-commerce adoption, sales processes, and supporting documentation.
  • Coordinate with Customer Service, Order Management, Supply Chain, Finance, Marketing, Service, Field Application Specialists, Technical Support, and Sales teams to ensure order accuracy, timely delivery follow-up, effective customer communication, and resolution of sales-related issues.
  • Support sales campaigns, lead follow-up activities, customer segmentation initiatives, targeted outreach programs, e-commerce adoption efforts, contract renewals, and marketing campaigns across Belgium’s regions and language communities.
  • Prepare sales reports, dashboards, quotation trackers, action logs, campaign follow-up files, and business summaries to support sales reviews, territory management, forecasting activities, and business planning.
  • Assist with the administration of customer agreements, standing orders, instrument and reagent offers, public and private tender documentation, pricing files, contract renewals, and customer-specific commercial arrangements.
  • Contribute to continuous improvement initiatives by identifying process gaps, sharing customer and sales feedback, supporting the adoption of standard tools and processes, and promoting a customer-focused, quality-driven, and compliant way of working.
  • Build strong relationships with internal and external stakeholders while supporting customers across academic and clinical laboratories, hospitals, universities, research institutes, industrial laboratories, distributors, procurement contacts, and public sector organizations.
What You'll Bring
  • Bachelor’s degree in Business Administration, Sales, Marketing, Life Sciences, Healthcare, or a related field, or equivalent professional experience.
  • Minimum of 2 years of experience in sales support, customer service, commercial administration, inside sales, order management, tender support, or a similar customer-facing support role.
  • Experience within life sciences, diagnostics, healthcare, laboratory products, academic research, clinical laboratories, industrial laboratories, public procurement, or B2B sales support is highly preferred.
  • Strong organizational and multitasking skills, with the ability to manage competing priorities, deadlines, customer needs, and stakeholder requests.
  • Excellent written and verbal communication skills with a professional, customer-oriented approach.
  • Fluency in Dutch and French is required.
  • Good working knowledge of English for internal communication and documentation.
  • Understanding of Belgian sales administration, quotation preparation, order follow-up, CRM best practices, customer support processes, and public and private tender support.
  • Ability to collaborate effectively within a cross-functional Belgian and Benelux environment and develop trusted relationships with Sales, Customer Service, Marketing, Finance, Supply Chain, Service, Technical Support, Tender Teams, and Management.
  • Proficiency with Microsoft Office applications, including Excel, Outlook, Word, and PowerPoint.
  • Experience working with Salesforce (SFDC), CRM systems, ERP/order management systems, reporting tools, collaboration platforms, and e-commerce tools is preferred.
  • Comfortable working in a multilingual business environment with high attention to detail.
  • Strong commitment to accuracy, timely follow-up, compliance, and customer satisfaction.
  • Ability to adapt to changing priorities and thrive in a collaborative, fast-paced environment.
