The Role
Carotek, a SunSource company, provides process equipment solutions for the industrial, commercial and municipal markets in North Carolina, South Carolina, Tennessee, Georgia and Virginia.  Carotek represents over 85 manufacturers as their process equipment distributor, representative, and repair center for pumps, blowers, heat exchangers, valves, instrumentation, IIoT, steam, hydronics and municipal products. www.carotek.com   

Perform a variety of duties to provide outstanding service and support to our customers and Valve Division Sales staff.  Within established procedures perform a variety of administrative support functions to receive, process and complete product orders according to customer specifications by performing the following broad range of duties.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
 
·        Provides administrative support to Outside and Inside Sales staff which may include generating various reports, composing routine correspondence, etc.
·        Receives and reviews product purchase orders to ensure terms and conditions are correct, prepares and issues order confirmations to all appropriate parties
·        Performs order entry functions by accurately inputting product code, serial number, quantity, price, discount and other pertinent information into the computer system
·        Enter new customer data and other sales data into computer database
·        Fields incoming calls for expediting requests, contacts manufacturer, expedites any back ordered items and supplies tracking information when requested
·        Maintains stocked inventory status and prepares monthly reports
·        Take customer request for product parts quotes via phone and email
·        As needed, review, look up and quote product parts per customer request 
·        Add a part or item to an order per account manager request or request from valve technician
·        As needed, take parts sales request from outside sales to be quoted to customer 
Enter parts orders and other order administration as described below:
o   Reviewing and filing of acknowledgments.
o   Running and reviewing multiple reports for Group Manager and outside sales
o   Running and reviewing multiple reports - open order expedite, rep open orders
o   Entering items received from shipping into P21 from packing slips
o   Entering direct ship invoices from the accounting department to be received into P21
o   Preparing invoices for items shipping, coordinates with Shipping department
o   Reviewing, booking, and filing commissions
o   Conferring with accounting to research and resolve invoicing or credit discrepancies
·        Organize and maintain electronic file systems and suspense for follow-up action, file correspondence and other records
·        Communicate with co-workers, management, customers and others in a professional and courteous manner
·        Assembles and ships submittals as directed, processes Operations and Maintenance manuals and maintains appropriate supplies for timely and accurate issuance;
·        Reviews and tracks commissions, updates commission reports, prepares commission spreadsheets
·        Confers with customer and/or Accounting to research and resolve invoicing or credit discrepancies
·        Organizes and maintains file systems, files correspondence and other records;
·        Follows established Quality Assurance programs;
·        Communicate with co-workers, management, customers and others in a professional and courteous manner.
·         Back up for front desk associate when they are out of the office, as well as on lunch break. Also, orders mailbox to distribute purchase orders across departments.
 
Production Orders – maintaining and scheduling production orders with valve shop technicians, adding labor, and processing to ship for a timely customer experience.  As well as communicating with shipping for any special needs.  Prioritize based on customer need, or toward end of the month dollar amount.
