Main Purpose of Job :

Working in OneCape DA Team located in Chennai, responsible for reviewing DA for Global customers in a timely and accurate manner, so that Inchcape Shipping Services meets or exceeds its delivery commitment to its customers

 

Direct reporting to Team Leader who is based in Chennai.

Key Accountabilities :

DA Review & Quality Assurance
•    Perform detailed review of FDAs to ensure completeness, accuracy and compliance with customer agreements, tariffs and instructions.
•    Verify supplier invoices, supporting documents and associated costs through established validation controls.
•    Identify discrepancies, raise queries with Local Port Agents (LPAs) and ensure timely resolution.
•    Validate exchange rates, taxes, revenues and other port-related charges before customer submission.
•    Ensure all quality control checkpoints are completed prior to FDA dispatch.

Customer Service & Query Management
•    Act as a primary point of contact for FDA-related customer queries.
•    Investigate and resolve billing disputes, documentation requests, and settlement-related concerns.
•    Liaise with LPAs, Operators, Finance teams, and customers to achieve timely closure of issues.
•    Maintain professional customer relationships and deliver a high standard of service. 

Process Management
•    Process assigned FDAs within agreed turnaround times and service level agreements.
•    Monitor workflow queues and proactively manage priorities to meet customer commitments.
•    Maintain accurate records within Optic and associated operational systems.
•    Support audit requests and ensure adherence to internal controls and compliance requirements

Operational Excellence
•    Identify opportunities for process improvements, automation, and standardization.
•    Participate in projects, UATs, and continuous improvement initiatives.
•    Contribute to development and maintenance of SOPs, work instructions, and knowledge repositories.
•    Share best practices and lessons learned across the team.

Competency Requirement 

Technical Skills

  • Understanding of port agency operations and shipping documentation
  • Knowledge of PDA/FDA processes

  • Working knowledge of In-house and MS Office applications

Expereince / Domain Knowledge :

•    Experience in Ship and Port agency related field
•    Working in a shared service centre environment
•    Knowledge of shipping Industry.

Educational and Professional qualification :

Essential: Degree educated at minimum bachelor’s level

Desirable: Bachelor’s / Master’s in Shipping

Other requirements :

Ready to work in flexible timings as per business requirement
