POSITION SUMMARY
Under general supervision, the Import Export Associate coordinates domestic and international shipments to ensure the timely, accurate, and cost-effective movement of EBARA products. This role prepares and maintains import and export documentation, ensures compliance with U.S. and international trade regulations, consolidates shipments to optimize transportation costs, audits freight invoices and carrier performance, and maintains accurate shipping records. The Import Export Associate works closely with internal departments, freight forwarders, carriers, customs brokers, and customers to support efficient global logistics operations and on-time deliveries.
ESSENTIAL FUNCTIONS
- Recordkeeping of all Import and Export shipments. Prepare documents for export shipments (SLI, Commercial Invoice, and Packing List). (Essential)
- Bill coding and approval of freight invoices for payment – Record keeping of all invoices paid. (Essential)
- Main contact for freight forwarder to solve & follow up on day-to-day issues such as delays, damages, refunds etc. (Essential)
- Responsible in the Investigation of lost and or missing shipments. (Essential)
- Create monthly Freight Forwarder Performance reports. (Essential)
- Assist in preparing and processing freight damage claims from insurance companies and/or carriers. (Essential)
- Maintain present rates and proposed rates to ensure the proper and most economic mode of transportation is used. (Essential)
- Maintain logs and compile information on routes, rates, and services on various vendors. (Essential)
- Responsible for Yearly contract negotiations with freight forwarders. (Essential)
- Interpret laws, rules, and regulations regarding shipping and prepare applications for import/export control certifications and licenses. (Essential)
- Maintain a clean and safe working environment compliant with EBARA safety policies. (Essential)
- Comply with EBARA’s safety policies, including participation in and completion of all required safety training. (Essential)
- Perform other duties as assigned. (Non-Essential)

Education
- AA or BA degree in Business, or equivalent experience.
Experience
- Information Technology Fluency
- Two (2) to four (4) years in a data entry position.
- Minimum Requirement: General ability in the use of personal computing hardware and software to enter project information, such as import data, cost estimating, and tracking. General knowledge of processes and tools to maintain, archive, and retrieve digital files. General knowledge of generating reports and presentation materials as needed for assigned projects.
- Materials Handling
- Four (4) - Six (6) years pulling, packing, and shipping customer orders.
- Minimum Requirement: Possess a general understanding of processing orders for shipment to customers.
- Supply Chain Knowledge
- Four (4) - Six (6) years working for a freight forwarder. Must be knowledgeable of import and export regulations.
- Working knowledge of general policies and procedures.
- Strong Customer Relations skills.
SKILLS & ABILITIES
- Working knowledge of DOT regulations. Working knowledge of shipping and receiving documents and controls.
- Working knowledge of MS Office products including Excel, Word, Outlook, and PowerPoint.
- Strong relationship-building skills with the ability to collaborate and work effectively with internal colleagues and customers.
- Demonstrated teamwork and organizational skills.
- Demonstrated excellent written and oral communication skills.
Skills Required
- Prepare export documentation (Shipper's Letter of Instruction, Commercial Invoice, Packing List)
- Recordkeeping of all import and export shipments and shipping records
- Bill coding and approval of freight invoices and record keeping of paid invoices
- Primary contact for freight forwarders to resolve delays, damages, refunds, and day-to-day issues
- Investigate lost or missing shipments and assist with freight damage claims
- Create monthly freight forwarder performance reports and maintain logs on routes, rates, and services
- Maintain and analyze present and proposed rates to select economical transportation modes
- Yearly contract negotiations with freight forwarders
- Interpret import/export laws and regulations and prepare applications for certifications and licenses
- Working knowledge of DOT regulations and shipping/receiving documents and controls
- Proficiency with MS Office (Excel, Word, Outlook, PowerPoint)
- AA or BA degree in Business or equivalent experience
- 2-4 years data entry experience and general IT fluency
- 4-6 years pulling, packing, and shipping customer orders (materials handling experience)
- 4-6 years working for a freight forwarder with knowledge of import/export regulations
- Strong customer relations, teamwork, organizational, and written/oral communication skills
