Description
Maxxima is seeking a highly organized and detail-oriented Import Coordinator to support our international import, logistics, and customs compliance operations in a full-time, onsite office-based role in Hauppauge, NY. In this role, you will coordinate import and customs documentation, track international shipments, and work with freight forwarders, customs brokers, carriers, and international suppliers to ensure the timely and compliant delivery of LED lighting and electrical products.
With over 40 years of experience, Maxxima is a trusted leader in LED lighting for the consumer home and heavy-duty transportation markets, known for delivering high-quality products with a strong focus on innovation, efficiency, and providing an exceptional customer experience. Our Import team plays a key role in ensuring the smooth flow of international goods into our supply chain.
Key Responsibilities
- Track international shipments, maintain accurate import transaction records, prepare HS7/DOT forms, submit customs documentation to forwarders, and prepare and reconcile reports for management review
- Provide international logistics support, coordinate skid layouts for ocean freight and container shipments in transit, and assist with resolving issues related to customs clearance, shipping delays, and international deliveries
- Provide regulatory and administrative support, including scheduling, staying informed on international trade regulations and customs requirements, maintaining system updates (e.g., MAS), and assisting with landed cost estimates for air and ocean freight shipments
- Support new product models and assist with the development and implementation of import procedures and policies for a growing product line
- Collaborate with internal departments, including the warehouse, customer service, and marketing, to provide shipment status, estimated transit times, delivery updates, and information regarding shipping discrepancies
- Performs other import duties as assigned
Requirements
- High school diploma or equivalent required; Associate’s degree in International Business, Supply Chain Management, Logistics, or a related field preferred
- Minimum of 3 years of experience in import operations, logistics, supply chain, or a related field
- Working knowledge of international trade regulations and customs compliance, including basic familiarity with tariffs, duties, HTS classifications, customs clearance, and import procedures
- Experience preparing and reviewing customs, import, and shipping documentation
- Experience working with DHL, UPS, and other shipping or logistics providers
- Ability to work effectively in a fast-paced environment with a strong sense of urgency and adaptability
- Ability to work efficiently, accurately, and independently with minimal supervision
- Strong organizational skills with the ability to prioritize multiple responsibilities and meet deadlines
- Strong attention to detail, analytical thinking, and problem-solving skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Excel and Word
- Familiarity with ISO 9001 and ERP (Sage), import, or logistics management systems is a plus
- Familiarity with CTPAT requirements and supply chain security practices is a plus

Salary Range: $55,000 - $65,000
