Position Overview
The Email & Campaign Operations Specialist is responsible for planning, executing, and optimizing email-based lifecycle and campaign communications that support lead generation, qualification, and customer engagement initiatives. This role serves as the executional owner of email marketing and CRM campaign operations, ensuring that initiatives are delivered accurately, on time, and aligned to defined lifecycle stages managed within Salesforce.
Klaviyo serves as the primary platform for prospect intake, email campaign execution, and MQL qualification, while Salesforce functions as the system of record for lifecycle stages and downstream sales engagement. This role focuses on strong campaign execution, content creation, operational rigor, and cross-functional coordination to support scalable growth.
This is a highly hands-on role ideal for someone who thrives in execution, enjoys building structure and process, and can translate strategy into high-quality, deployable campaigns.
Key Responsibilities
Campaign Planning & Execution
Own planning, execution, QA, and deployment of all email lifecycle and campaign sends
Manage the email campaign calendar in partnership with Marketing, Sales, and Operations teams
Translate broader marketing initiatives and business priorities into email-ready campaign plans
Ensure campaigns are delivered accurately, on time, and in alignment with brand standard
Email & Content Creation
Write and optimize email copy including subject lines, body copy, CTAs, and supporting content
Repurpose existing marketing assets into effective lifecycle and campaign emails
Partner with Brand and Content teams while maintaining ownership of final email execution
Klaviyo Platform Ownership (Execution & Intake)
Own Klaviyo as the platform for email execution, prospect intake, and MQL qualification
Build and maintain forms, flows, lists, and segments that support lead capture and nurturing
Ensure clean data capture and accurate handoff of MQLs to Salesforce
Maintain naming conventions, templates, and governance standards within Klaviyo
Lifecycle Enablement & Salesforce Alignment
Execute email programs aligned to lifecycle stages defined within Salesforce
Support nurture and engagement initiatives tied to MQL, SQL, and customer lifecycle stages
Partner with Marketing Operations to ensure lifecycle logic is accurately reflected in email campaigns
Assist with lifecycle documentation and process alignment across systems
Performance Monitoring & Optimization
Monitor email performance metrics including engagement, deliverability, and conversion indicators
Surface insights and recommendations to improve campaign effectiveness
Partner with Analytics and Marketing Ops teams to support reporting and attribution needs
Continuously test and refine email content and execution approaches
Skills & Qualifications
3+ years of hands-on experience in email marketing, lifecycle marketing, or campaign operations
Bachelor’s degree in Marketing, Communications, Business, or a related field preferred
Strong experience executing email campaigns end-to-end within platforms such as Klaviyo, HubSpot, Salesforce Marketing Cloud, or similar tools
Proven ability to write effective, engaging email copy aligned to brand voice
Strong understanding of segmentation, automation, and lifecycle-based messaging
Highly organized with excellent project management and execution skills
Detail-oriented with a strong emphasis on QA and operational excellence
Comfortable working cross-functionally with Marketing, Sales, and Operations teams
Familiarity with CRM systems (Salesforce preferred) and lifecycle data concepts
Working knowledge of data privacy regulations (e.g., GDPR, CCPA)
