The Human Resources Specialist plays a key role in attracting and onboarding talent, supporting employees and managers, coordinating engagement initiatives, and ensuring HR processes run smoothly across the organization. The ideal candidate is approachable, organized, and solutions-oriented, with the ability to balance employee support, compliance responsibilities, and continuous improvement efforts in a collaborative and inclusive workplace.

  

Position Summary: 

The Human Resources Specialist supports the employee experience across the organization by coordinating recruitment, onboarding, employee communications, engagement initiatives, and day-to-day human resources operations. This position serves as the primary HR resource for employees, provides guidance on HR policies and procedures and leads recruiting efforts for the organization. The HR Specialist partners with leaders across O-pa to support a positive, inclusive, and engaging workplace culture while ensuring HR processes are efficient, compliant, and employee focused.

Duties and Responsibilities:

Recruitment and Onboarding

  • Manage full-cycle recruitment efforts including job postings, screening, interviewing, and hiring.
  • Evaluate candidate qualifications and provide hiring recommendations to managers.
  • Ensure hiring managers and interviewers are well informed on hiring procedures.
  • Manage the onboarding and orientation process for new hires to ensure a smooth and welcoming transition into O-pa.

Employee Support & Engagement

  • Serve as the first point of contact for employee questions, feedback, and support.
  • Partner with managers on employee performance, conduct, and workplace concerns.
  • Interpret and apply HR policies and procedures while providing guidance to employees and supervisors.
  • Conduct initial assessment and resolution of employee relations concerns, escalating complex matters when appropriate.

Internal Communications & Culture

  • Support internal communications efforts, including writing and distributing the employee newsletter and announcements within Paylocity.
  • Provide coordination and administrative support for employee committees and employee-led initiatives, including Wellness, Staff Appreciation, and IDEA programs.
  • Partner with internal stakeholders to communicate employee programs, recognition efforts, and other workforce initiatives.
  • Support the planning, coordination, and execution of employee engagement activities and organizational events.

HR Operations & Administration

  • Prepare HR reports and workforce metrics as requested.
  • Maintain employment records and personnel files in accordance with organizational and legal requirements.
  • Assist with policy communication, documentation, and process administration. Recommend improvements as appropriate.
  • Exercise independent judgment in administering HR programs, policies, and procedures while ensuring compliance with applicable employment laws and organizational practices.
  • Identify opportunities to improve and streamline HR processes and employee experience.

Requirements

Minimum Experience and Qualifications:

  • 2-4 years HR administrative experience, recruiting experience required 
  • Strong written and verbal communication skills.
  • Experience coordinating multiple priorities in a fast-paced environment.
  • Ability to build positive working relationships with employees across all levels of the organization.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Experience using HRIS systems; Paylocity experience preferred.
  • Strong proficiency with Microsoft Office applications, particularly Outlook, Word, Excel, and Teams.

Education Requirements:

  •  Bachelor's degree in Human Resources, Business Administration, or a related field required; however, candidates with an equivalent combination of education and progressively responsible HR experience may be considered in lieu of a degree.

Supervisory Responsibilities:

  • None.

Physical Demands/Working Conditions:

  • Ability to handle the mental/physical strain involved in the use of printed materials, computer screens, and preparing data or information for reports.
  • Moderate manual dexterity for basic keyboard work; including grasping, repetitive hand movement and fine coordination.
  • Requires near vision in reading correspondence, reports, and using the computer.
  • Acute hearing is required when providing phone service and taking notes at meetings.
  • The need to lift, drag, and push files and computer reports weighing up to 25 pounds also is required.
  • Requires occasional standing, walking, reaching, twisting and turning, kneeling, bending, squatting, and stooping.
  • The incumbent works in an environment of frequent interruption.

Equipment/Machinery Used:

  • General office equipment (computer, telephone, fax, copier, scanner and printer).
