Position Summary & Objectives

The Human Resource Generalist is responsible for the day-to-day operations of the human resource department and carries out responsibilities in some or all of the following functional areas: recruiting, hiring, onboarding, employee access & credentials, employment verifications, employee programs, HRIS, and employee experience. The Human Resource Generalist contributes to the accomplishment of human resources practices and objectives that will provide an employee-oriented, high performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and the recruitment and ongoing development of a superior workforce.

Essential Functions

  • Maintain the HR module of the HRIS database: ensure direct report relationships, positions assigned, access permissions, department transfers, etc., are updated in a timely manner, and perform periodic audits to ensure database accuracy. Update/enter development review and other actions as appropriate and necessary. Generate scheduled or requested reports to assist management and support initiatives.
  • Maintain recruiting module of HRIS; enter/update job descriptions; maintain job titles (within HRIS’ payroll module); maintain job requisitions; periodically test job boards/website interaction to ensure a positive applicant experience.
  • Perform electronic onboarding process and ensure appropriate electronic documents are completed by onboarding employees. Maintain electronic personnel files and scan paper documents to ensure a paperless environment and/or in compliance with privacy standards and identity security.
  • Ensure the most current versions of onboarding documents, handbooks, and other electronic HR department document masters are updated within the HRIS.
  • Point of contact and maintains the HCP OSHA/HIPAA compliance training subscription service: assign appropriate training to new/existing employees; maintain reminders; ensure employee status changes (new and terminated) are updated in a timely manner; periodically audit HCP subscription records for accuracy and training status, reporting to supervisors as necessary and appropriate. Develop the capacity to act as the HCP SME.
  • Manage the flow of the electronic recruiting system. Meet department standards for applicant communication, declinations, and candidate resolution. May also schedule interviews occasionally.
  • Schedule first day orientation and ensure efficient, effective and welcoming onboarding process: partner with IT to ensure access cards, email, work space, and computer (with appropriate systems access) or other equipment are provided; partner with direct supervisor and other stakeholders, to ensure onboarding employee is coupled with a coach and first day preparations are complete; meet with employee on first day; complete new hire paperwork and orient employee to equipment, logistics, log-ins and facilities.
  • Facilitate the collaboration between departments and the educational facilities sponsoring physician assistants, medical residents, radiology students, medical assistant and other externs. Ensure compliance, licensing, and agency protocol are met and agreements are in place. Maintain files for students, externs and supporting agency agreements.
  • Establish and maintain personnel files in compliance with applicable legal and organizational protocols, including archiving, destroying and/or maintaining separate I-9, employee worker’s compensation, FMLA, and medical files.
  • Ensure I-9 files and forms are compliant, entered into the E-verify system, and archived and/or destroyed according to Homeland Security protocols.
  • Ensure IT, payroll, and other stakeholders receive termination notices as soon as practical and termination processes are completed. Ensure company property, access cards, badges, parking, passes, etc., are collected upon termination. Schedule exit interviews with HR Director as appropriate.
  • Point of contact for parking passes: receives parking pass updates, requests for replacement passes, issues new employee passes, and maintains and updates parking pass log. Ensures adequate supply of parking passes.
  • Point of contact for badge requests for employees, students, and permanent visitors for replacements and/or updates. Ensures supplies are available and badge templates are current and meet organization marketing and branding standards.
  • Ensure anniversary reminders are functioning and received by leadership. Ensure milestone and reward anniversaries are forwarded to appropriate Executive Team leadership. Provide birthday reminders/tracking as requested by supervisors and leadership.
  • Receive Hepatitis, Tuberculous, flu and other immunization records to ensure immunization standards are met for all new employees. Track vaccination history and expirations to ensure compliance. Inform supervisor or appropriate personnel of deficiencies.
  • Other duties as assigned.

Competency

Knowledge

  • Knowledge of recruiting and HR best practices – to include networking tools, applicant tracking systems, HRIS and more.
  • Knowledge of Microsoft Office, especially Word, Excel, Outlook, and PowerPoint.
  • Knowledge of HR training principles and techniques and customer service-related concepts.

Physical Demands

Manual dexterity is required for heavy amount of computer input. While performing the duties of this job, the employee is regularly required to sit. Will need to see, talk, and hear to accommodate all candidates through the process. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl. Be able to lift and/or move up to 25 lbs.

Equipment Operated

Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

Work Environment

Position is in well-lighted, well ventilated office environment. Occasional evening and weekend work.

Education / Experience / Licenses / Certifications

Required

  • Successful candidates will have excellent business development, recruiting, negotiation, communication, management and problem-solving skills
  • 1+ years experience in HR, recruiting or staffing required, and the ability to manage multiple lines of business
  • Communicates effectively on the phone and in writing
  • Highschool diploma or equivalent

Preferred (in addition to Required)

  • 3+ years’ experience in HR, recruiting or staffing, and the ability to manage multiple lines of business
  • Healthcare and high volume recruiting experience

FLSA Classification

Exempt

Position Type & Expected Work Hours

This is a full-time position. Work hours are typically sometime between Monday through Friday, 7:00 a.m. to 5:00 p.m., or other approved hours between 7 a.m. and 6 p.m. Occasional extended work hours may be required as business needs demand. Some employees in this position may be scheduled to work weekend shifts.

Eligible for occasional remote work based on Supervisor approval. Majority of time will be in office for this role.
