About the Role:
The Human Resources Coordinator is a key member of the Indianapolis Campus Human Resources team, providing responsive, accurate, and employee-centered HR services across the employee lifecycle. The Coordinator serves as a frontline resource for employees and supervisors while managing a broad range of HR processes, including employment authorization and I-9 compliance, onboarding and orientation, employee verification, fee remission programs, reporting, and employment-related transactions.
Success in this role requires strong organization, sound judgment, attention to detail, discretion, and the ability to work with a high degree of independence while managing competing priorities. The Coordinator responds to routine HR questions, applies established policies and procedures, resolves matters within the scope of the position, and appropriately escalates complex or sensitive issues.
The Coordinator also supports employee engagement, recognition, training, and continuous improvement of HR resources and processes. This position is an important connection point between employees and Human Resources and contributes to a positive employee experience through professionalism, responsiveness, initiative, and consistent service.

Required Skills and Competencies:

  • Ability to follow and apply College, state, and federal HR policies, procedures, and regulatory requirements, including understanding the importance of timely and accurate HR documentation.
  • Proficiency in Microsoft Word, Excel, and PowerPoint, with the ability to learn and use Workday and other HR systems.
  • Ability to handle sensitive information with discretion and exercise sound judgment regarding routine and sensitive HR matters.
  • Knowledge of HR onboarding processes and requirements, including required employment documentation, pre-employment activities, employee records, and coordination of new hire and adjunct onboarding and orientation
  • Ability to provide professional and responsive service to employees and supervisors, handle sensitive information appropriately, and recognize when matters should be escalated.
  • Ability to accurately enter, maintain, review, and retrieve confidential employee information using HR systems and reporting tools.
  • Ability to work with a high degree of independence, prioritize competing responsibilities, and meet established deadlines.
  • Knowledge of I-9 collection and processing, employment authorization requirements, and applicable timelines, with an understanding of the importance of accurate documentation and compliance.

Preferred Additional Skills:

  • Two years of experience in human resources or a related administrative role.
  • Experience with onboarding, orientation, employee transactions, or HR administration.
  • Experience supporting employee engagement, recognition, training, or internal communications.
  • Working knowledge of Workday or another Human Resources Information System (HRIS).

Key Responsibilities:
The following is not to be construed as an exhaustive list. Other duties logically associated with this position may be assigned. All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.

  • Manage HR processes and transactions throughout the employee lifecycle, ensuring accurate, timely, and consistent completion of assigned activities.
  • Manage I-9 and employment authorization processes, including collection and review of required documentation, E-Verify processing, monitoring regulatory timelines, resolving routine discrepancies, and ensuring compliance with federal and College requirements.
  • Coordinate HR onboarding and orientation for employees, adjuncts, contingent hires, and student workers, including required employment documentation, pre-employment activities, system transactions, communications, and orientation logistics.
  • Serve as a frontline HR resource for employees and supervisors by responding to routine questions, explaining established policies and processes, resolving matters within the scope of the position, and appropriately escalating complex or sensitive issues.
  • Maintain accurate and confidential employee records and HR data, including processing employment transactions, maintaining documentation, and preparing standard and ad hoc reports using Workday and other HR systems.
  • Support the employee experience and HR operations through employee verification, fee remission and tuition assistance programs, HR communications, training, employee engagement and recognition initiatives, and continuous improvement of HR resources and processes.

Education and Experience:

  • Associate degree in a related field or technical/industry certification with substantial related experience;
  • In lieu of an associate degree, three to five years of relevant human resources or administrative experience.
