POSITION SUMMARY
The HR Coordinator provides administrative and operational support to the HR team within a 24/7/365 mission-driven organization. This role supports managers and employees across various shifts with day-to-day HR needs throughout the employee lifecycle, including recruiting coordination, onboarding, employee records, leave and license tracking, training coordination, HR reporting, and compliance activities. The HR Coordinator maintains accurate and confidential employee information, follows established policies and procedures, and works closely with the HR team to ensure timely completion of HR processes and employee requests. This individual demonstrates a commitment to serving a diverse workforce and supporting the organization’s second-chance employment philosophy and mission.
ESSENTIAL DUTIES AND RESPONSIBILITIES
HR Administration & Employee Records
- Maintain employee files and HR documentation.
- Process routine employee status changes and forms.
- Enter and update employee information in the HRIS.
- Ensure documentation is complete and organized.
- Respond to routine employee questions or direct questions to the appropriate HR resource.
Recruiting & Hiring Coordination
- Post approved job openings using established templates and procedures.
- Schedule interviews and communicate with candidates.
- Maintain applicant and recruiting records.
- Assist with background checks and pre-employment requirements.
- Coordinate recruiting events and job fairs.
- Provide administrative support during the hiring process.
New Hire & Onboarding Support
- Coordinate new-hire paperwork and onboarding requirements.
- Schedule and assist with new-hire orientation.
- Prepare onboarding materials and resources.
- Track completion of required onboarding activities.
- Assist with employee badges, system access, and other routine onboarding tasks, as applicable.
Benefits & Payroll Support
- Provide employees with routine benefits information using established resources.
- Assist with benefits enrollment documentation and related administrative tasks.
- Submit routine payroll or timekeeping information to the appropriate HR/payroll resource.
- Assist with resolving routine documentation or information discrepancies.
Training & Development Coordination
- Schedule training sessions and communicate training information to employees and managers.
- Prepare training materials and attendance records.
- Track required training completion.
- Maintain training records in accordance with established procedures.
Employee Engagement & HR Programs
- Coordinate and support employee recognition and engagement activities.
- Support and support employee events and HR initiatives.
- Prepare and distribute Haven Happening emails and other HR communications
- Create and post HR updates and information on company-wide TV displays
- Assist with stay interviews, surveys, or other established employee-feedback activities.
- Compile and organize employee feedback for review by HR leadership.
HR Reporting & Compliance Support
- Track and maintain records of employee licenses, certifications, driver’s licenses, and other required credentials
- Prepare routine HR reports and spreadsheets.
- Gather information for HR metrics and audits.
- Maintain required HR documentation.
- Monitor completion of assigned compliance-related activities.
- Escalate questions or potential concerns to the appropriate HR team member.
Separation & Offboarding Support
- Coordinate routine offboarding activities and documentation.
- Update HRIS records following established procedures.
- Schedule exit interviews and maintain related documentation.
- Track completion of offboarding checklists.
Other Duties
- Maintain confidentiality of employee and HR information.
- Follow established HR policies, procedures, and processes.
- Maintain flexibility to support routine HR needs that arise outside of standard hours in support of the organization's 24/7/365 operations.
- Perform other duties as assigned.
Education & Experience
Required:
- High School Diploma or GED
- Minimum 2 years of HR experience , or equivalent HR experience
- Demonstrated experience managing employee relations matters including investigations and corrective action processes
- Experience working in or supporting a 24/7, multi-shift, or residential workforce preferred
Preferred:
- Associates degree in Human Resources, Business Administration, or a related field
- SHRM-CP or aPHR certification
- Experience in a nonprofit, social services, residential care, or mission-driven organization
- Bilingual skills (Spanish or other languages spoken by the populations served)
- Experience with second-chance, reentry, or inclusive hiring practices
Knowledge/Skills/Abilities
- Basic knowledge of federal, state, and local employment laws and regulations, with a willingness to learn and apply HR policies and procedures.
- Strong interpersonal and communication skills with the ability to work effectively with employees across all roles, shifts, and backgrounds.
- Strong organizational skills with the ability to manage multiple HR tasks, deadlines, and employee requests in a timely manner.
- Ability to exercise good judgment, identify issues, and seek guidance when handling sensitive employee matters.
- Proficiency with HRIS systems and Microsoft Office Suite; experience with an ATS is a plus.
- Ability to maintain strict confidentiality when handling sensitive employee and company information.

MANAGERIAL RESPONSIBILITIES.
- No formal direct supervisory responsibilities
WORK ENVIRONMENT & PHYSICAL DEMANDS
- Standard office environment with regular interaction with program staff and supervisors across multiple departments and shifts
- Must maintain availability to support urgent HR needs that arise outside of standard hours given the organization's 24/7/365 operations
- Occasional travel
- Prolonged periods of sitting and computer use
- Occasional lifting of materials up to 15 pounds
