POSITION SUMMARY

The USC Viterbi School of Engineering seeks two highly organized, detail-oriented, and customer service-oriented Human Resources Coordinators to support HR operations across a complex and fast-paced academic environment.

These positions serve as key members of the Viterbi Human Resources team and provide broad operational support across the employee lifecycle. One position will primarily support Viterbi's campus-based academic and administrative units, while the second position will primarily support the Information Sciences Institute (ISI) and Institute for Creative Technologies (ICT).

Reporting to the applicable Human Resources Director, the Human Resources Coordinator is responsible for executing a high volume of HR transactions, supporting recruitment and onboarding activities, maintaining employee and position records, and providing responsive service to employees, managers, and university partners. The successful candidate will demonstrate exceptional attention to detail, strong organizational skills, sound judgment, discretion, and the ability to independently manage multiple priorities in a deadline-driven environment.

CORE RESPONSIBILITIES

  • Support day-to-day human resources operations across assigned departments, institutes, and business units.
  • Execute personnel, payroll, and position management transactions in Workday and related university systems.
  • Process hires, transfers, promotions, compensation changes, leaves of absence, and separations.
  • Support recruitment activities, including job postings, interview scheduling, candidate communications, and onboarding preparation.
  • Coordinate onboarding and offboarding activities and ensure timely completion of required employment actions.
  • Conduct and track I-9 verifications and other employment compliance requirements.
  • Maintain accurate employee, position, and organizational records while ensuring compliance with university policies and procedures.
  • Serve as a primary point of contact for routine HR and payroll-related inquiries.
  • Partner with university stakeholders to resolve transactional and operational matters.
  • Monitor and track HR transactions to ensure accuracy, timeliness, and completion.
  • Prepare reports, correspondence, and employment-related documentation.
  • Support process improvement initiatives, special projects, and organizational priorities as assigned.
  • Maintain confidentiality and exercise sound judgment when handling sensitive information.

This position is expected to provide broad administrative and operational support to the Viterbi Human Resources function within a dynamic and fast-paced environment. While HR transactions, recruitment support, onboarding, and employee lifecycle administration represent the primary responsibilities of the role, the incumbent may also support special projects, process improvement initiatives, workforce programs, compliance activities, reporting, and other operational priorities as business needs require. The position is expected to demonstrate flexibility, independent execution, and a commitment to timely service delivery in support of the School's HR objectives and evolving organizational priorities.

ADDITIONAL INFORMATION

  • Salary Range: The hourly rate range for these nonexempt (overtime-eligible) positions is $28.18 - $35.54. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) scope of responsibilities, work experience, education and training, skills, internal equity, and market conditions.
  • Work Modality: These positions are eligible for hybrid work arrangements; however, regular onsite presence is required to support operational and business needs. The Campus Human Resources Coordinator will primarily support Viterbi's campus-based operations. The ICT/ISI Human Resources Coordinator will primarily support the Information Sciences Institute and Institute for Creative Technologies and will be expected to maintain a regular onsite presence at both institutes. Additional onsite presence may be required to support meetings, employee relations matters, organizational initiatives, workforce events, and other operational priorities.

PREFERRED QUALIFICATIONS

  • Prior experience supporting HR, payroll, recruiting, onboarding, or other high-volume administrative operations.
  • Strong administrative processing, organizational, and documentation management skills with exceptional attention to detail.
  • Experience using Workday or a similar HR information system.
  • Proficiency with Microsoft Office applications, including Excel, Outlook, and Word; experience with Lucidchart or similar workflow/documentation tools preferred.
  • Experience working in higher education or another complex administrative environment.
  • Demonstrated ability to manage multiple tasks, maintain confidentiality, and work effectively in a fast-paced environment.

Responsible for assisting with variety of administrative or clerical work in relation to various human resources support operations. Assists with administration of pre-employment test and/or background screening. Compiles, prepares, and maintains employment records. Provides supports for human resources related projects and programs, e.g. sends out reference request for new applicants, maintains human resources vendor list, tracks and pays invoices, etc.
