Job Summary
MCIS is seeking an HR Coordinator to join our team at the Dallas main office. This role plays a key part in ensuring smooth HR processes, compliance, recruitment coordination, and a positive employee experience. The position requires strong organizational skills, attention to detail, bilingual proficiency in Spanish, and the ability to thrive in a fast-paced, growing environment. This HR Coordinator supports the entire employee lifecycle by coordinating onboarding, maintaining employee records, processing personnel actions, ensuring HR compliance, supporting payroll-related activities, and providing outstanding customer service to employees and leadership.
Essential Duties and Responsibilities
New Hire Processing & Onboarding
Responsible for managing the full onboarding process from offer acceptance through orientation, ensuring new employees are compliant, properly entered into HR systems, and prepared for a successful start.
- Coordinate pre-employment activities including new hire paperwork, onboarding packets, and required documentation.
- Track completion of employment forms and follow up with candidates regarding outstanding items.
- Initiate and monitor pre-employment screenings, including criminal background checks, employment eligibility verification, and other required clearances.
- Verify professional credentials, certifications, licenses as required for specific positions.
- Complete Form I-9 verification and maintain compliance with federal employment eligibility requirements.
- Submit and monitor E-Verify cases as applicable.
- Accurately enter employee information into the HRIS, including job title, department, supervisor, compensation, and employment status details.
- Establish and maintain electronic personnel files in accordance with organizational policies and legal requirements.
- Coordinate new hire orientation and onboarding schedules.
- Partner with hiring managers, IT, facilities, and security teams to ensure equipment, system access, and workspace arrangements are completed prior to an employee's start date.
- Serve as a primary point of contact for new hires during the onboarding process.
Employee Lifecycle & Personnel Administration
Responsible for processing personnel actions and maintaining accurate employee records throughout the employment lifecycle.
- Process employee status changes including promotions, transfers, reclassifications, demotions, department changes, and supervisor updates.
- Coordinate and process compensation changes, including salary increases, stipends, supplemental pay, and other pay adjustments.
- Review personnel action requests for completeness, accuracy, appropriate approvals, and funding verification prior to processing.
- Update employee job updates, pay classifications, and organizational assignments within the HRIS.
- Process employment status changes, including full-time/part-time conversions and exempt/non-exempt classifications.
- Coordinate employee transfers between departments or locations, ensuring accurate records and timely communication with stakeholders.
- Maintain employee demographic and personal information, including address changes, name changes, emergency contacts, direct deposit information, and dependent updates.
- Work closely with Payroll and Finance teams to ensure all employee changes are processed accurately and reflected in payroll systems.
- Assist in researching, resolving, and reconciling HR and payroll discrepancies.
HR Operations & Administrative Support
Provide administrative and operational support for HR functions while delivering exceptional customer service to employees and management.
- Serve as a primary point of contact for the HR department by responding to employee inquiries, monitoring shared inboxes, answering phone calls, and directing requests appropriately.
- Prepare, edit, proofread, and distribute HR-related documents, reports, correspondence, and communications.
- Maintain employee records and ensure compliance with organizational record retention requirements.
- Support HR audits, compliance reviews, and reporting initiatives by maintaining accurate documentation and records.
- Provide cross-functional support to other HR team members during periods of high volume, special projects, or absences.
- Participate in HR initiatives, process improvements, system implementations, and special projects.
- Collaborate with Talent Acquisition Payroll and other departments to support organizational objectives.
- Perform additional duties and responsibilities as assigned.
Knowledge, Skills, and Abilities (KSAs)
- Working knowledge of human resources practices, employee recordkeeping requirements, and applicable federal, state, and local employment laws.
- Experience utilizing Human Resources Information Systems (HRIS), applicant tracking systems (ATS), and electronic personnel file management systems.
- Strong knowledge of recruitment tools, applicant tracking systems, and sourcing techniques.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong attention to detail with a high level of accuracy in data entry, document management, and recordkeeping.
- Excellent written and verbal communication, interpersonal, and organizational skills, with the ability to effectively interact with employees, managers, candidates, and external partners.
- Ability to manage multiple tasks and priorities while meeting deadlines in a fast-paced environment.
- Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Strong customer service orientation and commitment to providing exceptional support to employees and stakeholders.
- Ability to work independently while collaborating effectively within a team environment.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field (preferred).
- Knowledge of recruitment tools, applicant tracking systems, and sourcing techniques.
- Bilingual in English and Spanish (REQUIRED).
- Excellent communication, interpersonal, and organizational skills.
- Ability to manage multiple priorities and work in a fast-paced environment.
Schedule
- In office, Monday through Friday.
- May require extended hours and occasional weekends based on business needs.
Travel Requirements
- Occasional travel may be required to support hiring events, job site visits, onboarding, or other company locations.
- Willingness to travel: 25% (Required).
