This role will support day-to-day international HR administration, payroll coordination, employee documentation, and local HR compliance. Based in Portugal, the role will also provide administrative support to the local office and may assist the U.S. Accounting team with general administrative and accounting activities related to international operations.
The ideal candidate is highly organized, comfortable working independently, and able to build strong relationships across countries, cultures, and time zones.
This role requires onsite presence 5 days a week at our location in Porto.
Responsibilities
- Coordinate day-to-day HR administration for employees in Portugal, France, London, and future international locations.
- Maintain employee records, employment documentation, and required HR files.
- Support onboarding, offboarding, employee changes, benefits administration, and other recurring HR processes.
- Support benefits and compliance with local employment requirements and coordinate with external HR/legal resources when needed.
- Coordinate and translate HR documents and communications between English, Portuguese, French, and Italian as needed.
- Partner with the U.S. People Team on employee matters, reporting, and recurring HR processes.
- Coordinate monthly payroll with local providers and internal teams, ensuring accurate and timely processing
- Serve as a point of contact for general employee and office-related questions.
- Proactively identify needs and work independently to resolve issues.
- Provide general administrative and basic accounting support in partnership with the U.S. Accounting team.
- Assist with invoices, expenses, reconciliations, documentation, and other administrative processes as needed.
- Ensure information is accurate and submitted on time.
- Build strong relationships with employees and managers across international and U.S. locations.
- Communicate effectively across cultures, functions, and time zones.
- Manage multiple priorities, meet deadlines, and take ownership of assigned responsibilities.
- Know when to escalate issues and seek appropriate guidance.

Requirements
- 3+ years of experience in HR, People Operations, payroll/accounting, or a related field.
- Experience with international HR or employees in multiple countries preferred.
- Experience with payroll processing or external payroll providers strongly preferred.
- Fluent English required; Portuguese required. French and/or Italian strongly preferred.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Strong computer skills and ability to learn HR, payroll, and business systems.
- Ability to work independently, prioritize effectively, and solve problems.
- Comfortable collaborating with U.S.-based colleagues across time zones.
- Professional, approachable, and service-oriented.

- Periodic travel could be required (5%) to US headquarters or other locations.
