Position Summary
Key Responsibilities
1. Employee Records and HR Information Management: Maintain accurate electronic
and physical employee personnel records. Enter, update, and audit employee information
within HR databases, spreadsheets, and tracking systems. Track required employment documentation,
licenses, certifications, and credential expiration dates. Ensure personnel records are complete,
organized, and readily accessible for authorized use.
2. Workforce Administration and Tracking: Maintain attendance, leave, staffing, and
workforce tracking systems. Monitor
leave balances, absences, and other routine workforce metrics. Assist departments in obtaining, submitting,
and maintaining required HR documentation. Prepare routine HR reports and workforce data
summaries for management review.
3. Recruitment, Onboarding, and Training Coordination: Support recruitment
administration, including applicant tracking, interview scheduling, and
candidate communications. Coordinate
onboarding documentation, orientation records, and new employee file setup. Maintain training records and monitor
completion of required training, certifications, and credential renewals. Assist with staff development activities and
workforce compliance tracking.
4. HR Administrative Support: Prepare standard HR forms, correspondence,
reports, and employee documentation. Support employee communications related to
routine HR processes and administrative requirements. Assist with HR audits, projects, and
continuous improvement initiatives. Ensure compliance with WPMC policies,
procedures, and documentation standards.
Skills Required
- Proficiency in Microsoft Word, Excel, Outlook, and Google Workspace
- Strong data entry, record management, and document control skills
- Ability to maintain accurate databases, trackers, and spreadsheets
- Ability to prepare reports and summarize workforce information
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Professional written and verbal communication skills
- Ability to maintain confidentiality and exercise sound judgment
- Ability to work independently while following established procedures
- Associate degree or Bachelor's in HR, Business Administration, Public Administration, Management, or related field
- One to three years administrative, HR, office management, or data management experience
- Experience maintaining records, databases, or administrative tracking systems
- Experience in a healthcare environment
