The Position
We're looking for a positive, proactive, and detail-oriented Human Resources Assistant to support our Chief Human Resources Officer (CHRO) and HR Team. This pivotal role is essential for ensuring smooth operations across key HR functions, including candidate scheduling, expense management, onboarding, administrative tasks, and optimizing our Human Resources Information System (HRIS).
As part of our small but high-performing HR team, you'll be at the heart of the action, learning what it means and how to deliver high quality human services on a global basis, collaborating closely with HR colleagues and senior leaders, and helping the team drive results and efficiency across the organization. Job Description
Primary Responsibilities
- Coordinate and manage the CHRO's calendar, including scheduling interviews, meetings, appointments, and travel arrangements
- Welcome and escort visitors and pre-plan meeting agendas
- Prepare and submit expense reports, ensuring accuracy and timely submissions
- Develop and maintain letters and onboarding schedules for new hires, ensuring a smooth, thoughtful, and welcoming integration into the company
- Assist managers with various administrative tasks, including time-off requests, vacation tracking, policy updates, document preparation, compliance filing, and correspondence
- Submit invoices to the accounting system and file, ensuring timely and accurate processing
- Support the global enrollment process for Learning & Development programs
- Pull basic reports from the HRIS, analyzing data to support HR initiatives and decision-making
- Create, review, and edit various documents and presentations, ensuring clarity, accuracy, and adherence to company standards
- Collaborate with team members to gather information and content for reports, manuals, and training materials
- Partner with Facilities Coordinator in restocking office inventory, ensuring supplies are always available, keeping shared spaces organized and clean, and promoting a welcoming work environment for all employees in the building
- Serve as the primary backup for building facilities
Job Requirements
Education
- Bachelor's degree in Human Resources, Business Administration, or a related field
Skills & Relevant Work Experience
- 2+ years of experience in an administrative or HR support role
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with HRIS (e.g., UKG, Kronos) a plus
- Highly ethical: tactful in handling very sensitive information with grace, confidentiality, and discretion
- Excellent verbal and written communication and interpersonal skills
- Capability to handle multiple tasks simultaneously
- Must be able to lift and carry up to 20 pounds as part of facility responsibilities
- Physical tasks will be required: stairs, lifting, overhead reaching, bending
- Ability to travel to and work in a physical office on a full-time basis.
- Strong initiative and ability to anticipate next steps; seeks solutions
- Skilled in prioritizing, organizing, managing demands, and meeting deadlines
- Proven team collaboration experience and a desire to work in HR and with people
