General Position Summary:
The HubSpot Administrator is the architect and steward of the organization's CRM ecosystem. This role owns the stability, scalability and performance of HubSpot while continuously identifying smarter, faster and more impactful ways to support the business.
The ideal candidate is not a transactional system operator who simply executes requests. They are a proactive problem solver who brings fresh ideas, challenges conventional approaches and leverages technology, automation and AI to solve business challenges in new ways. They move with urgency, adapt quickly to changing priorities and deliver solutions at speed, while maintaining the governance, security and data integrity required for a trusted enterprise platform.
This role serves as a strategic partner to Sales, Marketing, Operations and Leadership by translating business needs into scalable CRM solutions that improve adoption, efficiency, visibility and growth.
Success in this role requires the ability to move fast without creating technical debt, delivering innovative solutions with the discipline necessary to protect system performance, data integrity and long-term scalability.
Essential Duties & Responsibilities:
Platform Administration, Automation & Innovation (45%)
- Own day-to-day HubSpot administration including users, permissions, objects, properties and system settings
- Design, build and optimize workflows, automation and custom solutions that streamline processes and eliminate manual effort
- Identify opportunities to improve operations through creative use of HubSpot capabilities, integrations, AI and emerging technology
- Challenge existing processes and recommend innovative approaches that improve business outcomes rather than simply replicating current workflows
- Build, test and maintain automation across Sales, Marketing and Operations with strong QA processes and rollback plans
- Manage platform releases and enhancements with clear communication, training and minimal business disruption
- Troubleshoot issues quickly, determine root causes and implement sustainable solutions rather than temporary fixes
- Balance speed and agility with thoughtful governance, ensuring rapid execution does not compromise platform stability or data integrity
- Manage integrations with key business systems, monitor data flow and proactively resolve sync, mapping or process issues
Data Quality, Governance & Scalability (30%)
- Establish and enforce CRM standards, governance policies and best practices that support long-term scalability
- Protect the integrity of the platform by ensuring changes are properly evaluated, tested and documented
- Run regular audits to identify duplicates, incomplete records, automation conflicts and process breakdowns
- Lead data cleanup initiatives and address root causes to prevent recurring issues
- Manage imports, exports and migrations with rigorous validation and quality control processes
- Monitor data quality trends and proactively identify opportunities to improve reporting accuracy and operational efficiency
- Maintain governance documentation and ensure teams follow processes that protect system health and reporting reliability
- Serve as a trusted advisor who balances business requests with platform sustainability and long-term architectural considerations
Business Partnership, Enablement & Continuous Improvement (20%)
- Partner with stakeholders to understand business objectives and translate them into scalable CRM solutions
- Act as an internal consultant, helping teams rethink processes and uncover more efficient ways of working
- Train and support users through role-based enablement programs that increase adoption and effectiveness
- Maintain SOPs, system documentation, workflow maps and change logs
- Gather user feedback, identify friction points and continuously improve system usability and user experience
- Create quick-reference guides, training materials and documentation that accelerate user success
- Promote a culture of CRM accountability, adoption and continuous improvement across the organization
Reporting, Analytics & Adoption (5%)
- Maintain core dashboards and reports while ensuring metric definitions remain consistent and reliable
- Monitor platform adoption and user engagement, identifying opportunities to improve utilization and business value
- Support leadership with reporting recommendations that provide actionable insights rather than simply delivering data
- Identify trends, gaps and opportunities that help the business make faster and better decisions
Job Skills Required:
- Demonstrated ability to design creative CRM solutions that solve business challenges and improve operational efficiency
- Strong workflow automation, process design, troubleshooting and integration management experience
- Proven track record balancing rapid execution with strong governance, testing and risk management practices
- Experience evaluating business requirements and architecting scalable solutions rather than simply fulfilling requests

Education & Experience:
- 6+ years of HubSpot administration experience in a complex, multi-user environment
- HubSpot Administrator certification required; advanced HubSpot certifications preferred
