Position Summary: The HRIS Specialist (Human Resources Information System Specialist) is responsible for maintaining and optimizing the company's HRIS software (UKG) and supporting the HR team with data management, reporting, and system troubleshooting. The HRIS Specialist acts as a liaison between HR and business functions, ensuring smooth integration and functionality of the HRIS, as well as helping to drive HR process automation and efficiency.
Essential Duties and Responsibilities:
- Administer and maintain the HRIS system (UKG) to ensure the accuracy and timeliness of employee data.
- Perform regular updates to employee records, ensuring that all changes are made in compliance with company policies and procedures.
- Configure and customize HRIS system modules to align with organizational needs and HR initiatives.
- Develop and run regular reports on various HR metrics, such as headcount, turnover, benefits participation, and compliance.
- Provide ad-hoc data analysis and reports to support decision-making within the HR department and management.
- Ensure data integrity by auditing HRIS data for accuracy and consistency.
- Troubleshoot system issues to resolve technical problems and ensure minimal disruption to HR processes.
- Monitor system performance and recommend enhancements to improve usability, functionality, and efficiency.
- Support HRIS upgrades and system integration projects as required.
- Provide training and support to HR team members and employees on the proper use of the HRIS system, ensuring they understand its features and functionalities.
- Serve as the first point of contact for HRIS-related questions and issues within the HR department.
- Identify opportunities to automate HR processes through system functionality and work with the HR team to implement these improvements.
- Assist in the development and documentation of HRIS-related workflows and procedures.
- Lead or assist with HRIS-related projects such as system migrations, upgrades, or new module implementations.
- Ensure projects are delivered on time and within scope, coordinating with relevant stakeholders to meet project objectives.
- Performs other duties as assigned by supervisor.
Experience and Minimum Qualifications:
- Bachelor's degree in Human Resources, Information Technology, Business Administration, or a related field.
- 3+ years of experience working with HRIS systems, preferably in an HRIS Specialist, HR Analyst, or HRIS Administrator role.
- Experience with data analysis, reporting, and HR process automation.
- Strong analytical and problem-solving skills.
- Proficiency in Microsoft Excel (pivot tables, VLOOKUP, advanced formulas), and other data management tools.
- Strong attention to detail and a high degree of accuracy.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Hold oneself accountable and responsible while being self-driven in accomplishing goals.
- Excellent verbal and written communication skills at all levels to communicate with internal and external stakeholders articulately.
- Ability to work collaboratively with cross-functional teams.
- Ability to logically connect ideas, scrutinize and evaluate arguments, find inconsistencies and errors in work, and solve complex problems.
- Ability to provide timely and empathetic service through all communication channels keeping peer and customer needs first.
- Proficiency using Microsoft Office Suite (Outlook, Word, PowerPoint, Project, and/or Access).
- Must be legally authorized to work in the country of employment without sponsorship for employment visa status (e.g., H1B status).
Preferred Knowledge, Skills, Abilities, or Certifications:
- Experience with HRIS system implementations and/or upgrades.
- Familiarity with employee lifecycle management processes (recruitment, onboarding, performance management, etc.).
- Knowledge of HR policies, procedures, and best practices.
- Familiarity with HR-related compliance and legal requirements.
- HR certifications (e.g., SHRM-CP, HRIP) or technical certifications related to HRIS systems.
- Experience with UKG.

- Additional hours may be required (exempt positions).

- Normal office environment.
- Performs indoor work in a climate-controlled environment.
- Sedentary work. Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
