This position is responsible for supervising the daily Human Resources administration, employee lifecycle processes, HR compliance, and local statutory documentation requirements in accordance with the Labour Code of the Republic of Armenia, internal policies, and Kempinski standards.

The role ensures smooth HR operations across recruitment administration, onboarding, employee records, leave administration, payroll coordination, and employee relations, while supporting the Human Resources leadership team.
Key Responsibilities
Recruitment & Application Handling
· Supervise vacancy administration and ensure all positions are posted on approved recruitment channels.
· Ensure employment requests and candidate applications are acknowledged within 48 hours.
· Coordinate interview scheduling with Department Heads and maintain recruitment trackers.
· Ensure timely communication and professional candidate experience throughout the hiring process.
· Supervise issuance of offers, employment documentation, and pre-employment checks in line with Armenian legal requirements.
Onboarding & Employment Documentation
· Supervise and coordinate onboarding of all new joiners.
· Ensure all employment contracts, job descriptions, consent forms, and mandatory legal annexes are signed before commencement.
· Ensure accurate registration of employees in local systems and state-required reporting platforms.
· Coordinate probation follow-up and confirmation processes.
HR Administration & Legal Compliance
· Supervise the maintenance of complete and audit-ready employee files, both physical and electronic.
· Ensure accurate administration of:
o annual leave
o sick leave
o maternity and childcare leave
o unpaid leave
o business trips
o overtime and shift schedules
· Ensure all documentation is compliant with the RA Labour Code, internal policies, and document retention requirements.
· Support preparation of employment certificates, salary certificates, embassy letters, and disciplinary documentation.
Payroll & HR Systems
· Enter employee master data and payroll-related inputs in local Armenian Software
· Ensure accurate monthly updates for:
o salary changes
o bonuses
o deductions
o leave balances
o attendance / timesheets
· Coordinate with Finance for payroll closure and reconciliation.
· Maintain HR dashboards, reports, and headcount statistics.
Employee Relations & HR Operations
· Provide first-line support to employees on HR policies, attendance, leave, benefits, and employment documentation.
· Supervise HR office presentation standards, communication boards, employee areas, lockers, and cafeteria notices.
· Support engagement activities, colleague anniversaries, recognition moments, and internal communication initiatives.
Exit Management
· Supervise offboarding documentation and clearance process.
· Ensure final settlements, leave reconciliations, and statutory documents are prepared.
· Conduct or coordinate exit interviews.
· Ensure issuance of employment certificates and legal release documents on the last working day.
Supervisory Responsibilities
· Guide and support HR Coordinators / HR Administrators where applicable.
· Monitor quality and timeliness of HR administration processes.
· Support HR audits, pre-opening documentation readiness, and policy implementation.
Skills, Knowledge and Expertise
· Strong knowledge of the Labour Code of the Republic of Armenia
· Good understanding of local payroll administration and statutory reporting
· Experience with Armenian Software system
· Knowledge of military registration, sick leave certificates, and state reporting processes
· Strong MS Office skills
· Excellent English, Armenian, and Russian preferred.
