Position Summary:
Florida Atlantic University is seeking an HR Specialist, Workforce Administration Records and Control - Boca Raton, FL
Reports directly to a unit lead, director or upper-level administrator. Responsible for paraprofessional HCM recruitment and onboarding processing to support and administer the University’s classification and compensation structures and strategies.
Summary of Responsibilities:
30 % Onboarding and Data Management Services
- Support a comprehensive onboarding process, including completing Form I-9 verifications to establish identity and work eligibility.
- Ensure all required onboarding documents, forms, and clearances are received, reviewed, and tracked prior to start of employment.
- Serve as a liaison for new hires and hiring managers, providing clear updates on onboarding timelines, deliverables, and potential delays.
- Maintain strict, legally compliant record-keeping of secure employee files according to university and state archives guidelines.
- Collect, review, and verify applicant and employee documentation to ensure successful completion of all pre-employment requirements.
- Utilize Workday reports to monitor onboarding progress and take action as required.
30% Employment Extensions
- Review and process employment hires and extension requests designed for existing OPS, students, and adjunct employees according to their classifications.
- Utilize Workday and Banner to confirm student enrollment for data extensions and additional jobs.
- Review and process requests for additional jobs for all classification types and obtain the necessary approvals prior to finalizing.
- Resolve and troubleshoot system issues to ensure data extensions are recorded properly in Workday.
20% Employment Authorization
- Evaluate employment classifications alongside active work authorizations to ensure compliance with immigration laws and federal labor standards.
- Monitor the visa employment authorization expiration reports and systematically notify departments and employees to secure updated work eligibility documents.
- Ensure E-Verify cases are properly submitted and handle Tentative Non-Confirmations (TNC) in a timely manner.
- Consult employees to discuss E-Verify status and actions.
- Utilize the E-Verify portal and Workday to monitor sensitive employment authorization updates.
10 % Employment Screenings
- Evaluate and determine mandatory employment screenings based on role type, including domestic/international background checks, Level I/II checks, education verifications, and specialized foreign influence screenings for current employees.
- Collaborate with Recruitment Services and the Office of Compliance in determining background check adjudication status.
- Coordinate with employees and hiring departments to ensure required background check information is collected and reviewed for compliance purposes.
- Manage and execute background check pre-adverse and adverse action processes when necessary.
5% General HR Operations
- Evaluate and identify solutions to routine and complex operational problems as they arise across the university.
- Meet strict project deadlines and provide proactive, timely updates to management and senior leadership.
- Crosstrain with team members to support broader departmental priorities and ensure continuous operational coverage.
- Maintain and systematically upkeep the internal HR staff manual, workflows, and operational checklists.
- Assist with Public Records Request and Verification of Employment.
- Assist in the review and update of any/all Employment Services (Recruitment Services and Workforce Administration Records and Compliance) information on the HR webpages and related job aids to ensure accuracy and compliance.
- Provide front desk coverage as needed.
5% Additional Duties:
- Stay abreast of current HR developments in recruitment & selection, I-9, classification, compensation, and related/applicable laws and regulations.n current HR developments in recruitment & selection, I-9, classification, compensation and related/applicable laws and regulations. Attend required trainings and conferences as delegated/assigned. Share ‘best practices” as learned.
- Perform self-service updates for your individual personnel HR record via Workday (i.e., absence/ sick leave entry, annual evaluation data entry, emergency contact information, W4 updates, etc.)
- Perform other duties as assigned. As a valued member of the University community, serve/participate in workgroups or special ad-hoc committees and/or project appointments.
