Job Description:

Job Summary
  • Our HRBP Standards Team primarily interacts with HRBP Leaders, HRBPs, and a variety of Teams across People, Learning & Development (PLD) to manage projects that HRBPs will ultimately deliver. We impact Southwest by educating and empowering HRBPs to provide our Employees and Leaders with high-quality and consistent HR advisory services.

  • The HR Specialist will have the unique opportunity to partner daily with several teams across the People Department. They will be a member of the HRBP Team and report into HRBP Standards, however they'll also partner closely with our admin and Leader Teams to support the great People Department.

  • The HR Specialist supports day-to-day operations within the People Department, assisting Department Leaders with administrative tasks, payroll, communications, and event support, as well as provide additional support to the HRBP Team with content management, and lower complexity projects. They will usually be onsite, as they'll be leveraged for administrative needs and event coordination. Some days will be spent moving around the corporate campus if they're supporting events.

Responsibilities

  • Assists with administrative activities and functions including, but not limited to calendar scheduling, hotel reservations, meeting requests, food orders and delivery, printing, scanning documents, room bookings, etc.
  • Design and build PowerPoint decks for HR projects, Leaders, and events to effectively communicate key information and support strategic initiatives.
  • Process Timekeeping & correct documents related to exceptions in time & attendance systems to accurately reflect payroll for Non-Contract Employees within the department
  • Design, develop, and facilitate engaging meetings and small-scale projects, while assisting with large-scale departmental events and cultural activities.
  • Maintain library of templates, toolkits and other knowledge assets for HR Business Partner SharePoint site
  • Create and manage content across various digital communication channels, ensuring it is accurate, relevant, and consistent with the brand message
  • May provide project management support for Department or HRBP strategic priorities
  • Collaborate with the department Executive Assistant (EA) to manage and support administrative tasks and other day-to-day operational needs on an as-needed basis
  • May perform other job duties as directed by Employee’s Leaders
Knowledge, Skills and Abilities
  • Knowledge of administrative procedures, such as file management, calendar management, designing templates and other office tasks
  • Knowledge of MS Office Suite products
  • Skilled in creating presentations using Microsoft PowerPoint for Leaders, Teams, and Department events
  • Skilled in understanding the implications of new information for both current and future problem-solving and decision-making
  • Skilled in providing exceptional customer service and maintaining positive relationships
  • Ability to collect, organize, visualize, and assimilate data, including turning raw data into meaningful information
  • Ability to effectively understand and communicate ideas in written, spoken, and digital formats, tailored to the appropriate audience
  • Ability to maintain confidentiality regarding sensitive Company information
  • Ability to prioritize tasks, multitask, and work efficiently with a sense of urgency
  • Ability to adapt to new technology applications and acquire new technical skills
Education
  • Required: High School Diploma or GED
Experience
  • Entry-level experience, developing skills and knowledge in Administrative Support, Customer Service, or Human Resources
  • Preferred Skills:

    • MS Excel (pivot tables, vlookups, creating graphs)

    • Quickbase, MS Lists or Qualtrics

    • MS Sharepoint site management

    • Experience presenting to large groups

Physical Abilities
  • Ability to perform work duties from limited space work station/desk/office area for extended periods of time
  • Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job
  • Ability to lift and/or pull medium weight loads (approx. 25-50 lbs) on occasion
Other Qualifications
  • Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines
  • Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986
  • Must be at least 18 years of age
  • Ability to communicate and interact with others in the English language to meet the demands of the job
  • Must be able to comply with Company attendance standards as described in established guidelines

Pay & Benefits

  • Competitive market salary from $61,850 per year to $68,700 per year* depending on qualifications and experience. For eligible Leadership and individual contributor roles, additional bonus opportunities are available and awarded at the discretion of the company.
