We are looking for an HR Operations Specialist to ensure a high level of service, compliance, and coordination across HQ and the Nordics. In this role, you will play a key part in enabling smooth HR operations – from employee support and contracts to onboarding, policies, and company-wide HR activities.

The position is a part-time role (30 hours per week).

Driving day-to-day HR operations across HQ and the Nordics

In this role, you will be responsible for ensuring smooth day-to-day HR operations across HQ and the Nordics. You will act as a key point of contact for employees and managers, handling a broad range of operational, administrative, and coordination tasks.

You will work across the full employee lifecycle – from onboarding to offboarding – ensuring compliance and high-quality HR delivery. In addition, you will support and drive selected HR projects and initiatives, working closely with both internal stakeholders and external vendors.

You will also play a key role in coordinating HR activities across the organization, while guiding and supporting an HR Student Assistant in their daily work.

Your key responsibilities include:

  • Managing HR Helpdesk requests and acting as a key contact for employees and managers

  • Handling HR administration, including contracts, addendums, internal communication, and travel booking (Egencia)

  • Supporting and maintaining the HR system in collaboration with the HRIS Manager

  • Ensuring onboarding and offboarding processes are well-coordinated and executed

  • Maintaining HR policies, handbooks, and ensuring compliant employment documentation and processes

  • Providing HR legal and administrative support to HR Partners and the Talent Acquisition team

  • Owning and driving the Graduate Program in collaboration with the HR Partner

  • Supporting and contributing to HR projects (e.g. HR Helpdesk development, SharePoint structures, external vendors)

  • Planning and coordinating HR activities, including global meetings, HR Summit, and APV/AMO, and internal initiatives

A structured HR professional with strong operational ownership

We are looking for a structured and service-minded HR professional who enjoys working hands-on with operational HR tasks while maintaining a high level of quality and compliance.

We expect you to have:

  • Experience in HR administration, including contracts, addendums, and employment documentation

  • Experience working with HR systems (HRIS) and ensuring high data quality and system accuracy

  • A solid understanding of the full employee lifecycle (onboarding, offboarding, contract changes, employee data management)

  • Knowledge of employment law and HR compliance requirements, including GDPR/data handling

  • Experience coordinating HR processes and ensuring consistent execution across stakeholders

  • The ability to work with and manage external HR-related vendors (e.g. travel, payroll, or HR services)

  • Experience supporting or driving HR projects (e.g. graduate programs, system implementations, process rollouts)

  • Communication skills in English and Danish

Practicalities

This is a part-time position (30 hours per week), with an expectation of being onsite at our HQ in Odense a minimum of four days per week.
