HR OPERATIONS COORDINATOR

Location: Minnetonka, MN | Hybrid

Schedule: Full-Time

Salary: $50,000 – $65,000 (based on experience)

The HR Operations Coordinator supports day-to-day human resources operations across the employee lifecycle for both U.S. and India employees. This role works closely with HR leadership, employees, payroll, finance, benefits providers, and other internal stakeholders to ensure HR processes are handled accurately, efficiently, and with a high level of professionalism and confidentiality.

The HR Operations Coordinator will support employee onboarding and offboarding, HR systems and records, benefits and payroll coordination, compliance activities, employee relations processes, and immigration administration. This is a hands-on role suited for someone who is organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment.

WHAT YOU’LL DO

  • Support day-to-day HR operations for employees in both the U.S. and India throughout the employee lifecycle.
  • Respond to employee HR questions and requests, providing timely support and escalating complex matters to HR leadership as appropriate.
  • Coordinate employee onboarding and offboarding activities to ensure a smooth and positive experience.
  • Support India HR operations, including onboarding, employee documentation, and exit processes in partnership with HR leadership.
  • Administer HR transactions and processes in Workday, including employee updates, job changes, documentation, and reporting.
  • Maintain accurate and confidential employee records and assist with routine documentation audits and compliance readiness.
  • Support employee relations and performance management processes, including performance improvement plan documentation and coordination, under the guidance of HR leadership.
  • Assist with payroll and benefits administration by responding to employee inquiries, gathering documentation, and coordinating with internal teams and external vendors.
  • Partner with Finance and Payroll to ensure employee changes are accurately reflected in payroll and benefits.
  • Support leave administration, including employee communications, documentation, and coordination.
  • Assist with HR compliance reporting and audit preparation.
  • Support the development and maintenance of HR policies, employee handbook updates, forms, and other HR documentation.
  • Assist with immigration administration, including tracking documentation, deadlines, renewals, and required compliance activities.
  • Coordinate with internal stakeholders and external immigration partners to ensure timely completion of required actions.
  • Maintain accurate immigration records and follow up on outstanding documentation and renewals.
  • Prepare HR reports, documentation, and data as needed to support HR leadership and business needs.
  • Assist with a variety of administrative and operational activities across the HR function.
  • Identify opportunities to improve HR processes, documentation, and employee support workflows.
  • Maintain a high level of confidentiality and professionalism when handling sensitive employee information.

WHAT YOU’LL BRING

  • Three or more years of experience in human resources, with experience supporting HR operations, employee relations, compliance, or related functions.
  • Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
  • Experience working with HR information systems; Workday experience is a plus.
  • Experience supporting HR operations for employees in India is a plus.
  • Working knowledge of HR compliance requirements and employment regulations.
  • Experience with benefits administration and payroll coordination is preferred.
  • Familiarity with immigration processes and documentation is preferred.
  • Strong documentation, reporting, and organizational skills with exceptional attention to detail.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • Strong communication skills with the ability to interact effectively with employees and leaders at all levels of the organization.
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.
  • Proactive and resourceful approach to identifying issues and finding solutions.
  • Strong problem-solving and critical-thinking skills.
