Job Title: HR Onboarding Coordinator
Summary
The HR Onboarding Coordinator is responsible for supporting the day-to-day administrative functions of Human Resources, with a primary focus on delivering a seamless and compliant onboarding experience. This entry-level role plays a key part in onboarding, record-keeping, and employee support, while ensuring accuracy, timeliness, and a positive new hire experience.
Key Responsibilities
- Coordinate end-to-end onboarding, including pre-boarding communications, new hire documentation, and first-day readiness
- Prepare and distribute offer packets and onboarding materials via email
- Ensure all required new hire documentation is completed prior to the employee’s start date
- Track onboarding progress and ensure timely completion of all required documentation and tasks
- Partner with hiring managers to support successful new hire integration
- Enter and maintain accurate employee data in HR systems (HRIS, timekeeping, etc.)
- Enroll new employees in timekeeping systems and ensure proper setup
- Maintain employee personnel files in compliance with recordkeeping requirements
- Generate and maintain basic HR reports and onboarding metrics
- Ensure completion of Form I-9s within required timelines and maintain proper documentation
- Maintain compliance with federal, state, and company policies related to onboarding and employee records
- Partner with IT to coordinate new hire equipment and system access
- Support communication between HR, hiring managers, and new hires throughout the onboarding process
- Serve as a point of contact for new hire questions and general HR inquiries
- Escalate complex issues to appropriate HR team members as needed
- Perform other HR and onboarding-related duties as assigned
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred
- 1–2 years of administrative or office-related experience
- Ability to follow established processes while collaborating effectively with a team
- Strong data entry and clerical skills with high attention to detail
- Excellent organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Ability to handle sensitive and confidential information with discretion
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with HR systems or databases preferred
