We are looking for a highly organized and detail-oriented Executive Assistant – HR & IT Operations to support day-to-day operational execution across both people and technology functions.
This role will play a critical part in ensuring smooth employee lifecycle processes while also managing core IT coordination tasks such as access provisioning, systems administration, and equipment logistics. The ideal candidate is process-driven, tech-savvy, and comfortable working cross-functionally in a fast-paced environment.
Approximately 60% of the role will focus on IT operations and 40% on HR support.
Key ResponsabilitiesIT Operations (60%)
- Set up new hire laptops remotely.
- Manage user account provisioning and deprovisioning across internal systems (e.g., Google Workspace, Slack, ATS, HRIS, SaaS tools)
- Maintain and audit access controls and permissions, ensuring security and compliance
- Coordinate equipment logistics (ordering, shipping, retrieval, inventory tracking)
- Serve as the first point of contact for basic IT support requests and escalate when needed.
- Support the implementation and administration of new tools and systems
- Ensure smooth onboarding/offboarding IT workflows
HR Operations (40%)
- Assist with employee onboarding and offboarding processes
- Maintain accurate and organized employee documentation and records
- Help with compliance tracking
- Support internal HR processes, reporting, and documentation updates
- Assist in improving operational workflows and process efficiency
- Provide administrative support for employee experience initiatives
Requirements
- 1+ years of experience in operations, HR coordination, IT support, or administrative roles
- Strong familiarity with SaaS tools and user management systems (e.g., Google Workspace, Slack, Notion, HRIS, ATS)
- High attention to detail and strong organizational skills
- Ability to manage multiple workflows and prioritize effectively
- Strong communication skills (written and verbal)
- Comfortable handling confidential information
- Proactive mindset with a focus on process improvement
Nice to Have
- Basic understanding of IT security and access management best practices
- Experience with remote team operations
- Familiarity with tools like Okta, Jira, or similar
