We're looking for an HR Generalist to play a key role in supporting our employees and managers across the full employee lifecycle. This is a broad, hands-on role where you'll combine operational excellence with practical HR partnering, helping ensure our people processes run smoothly while delivering a great employee experience.
You'll take ownership of day-to-day HR operations, advise managers on people matters, ensure compliance with local employment legislation, and continuously look for opportunities to improve how we work. As the primary HR contact for the business, you'll have the autonomy to make decisions within your area of responsibility, drive improvements, and build strong partnerships across the organization.
The role supports a globally distributed team, with a primary focus on employees in Estonia, Ukraine, and the USA.
What You'll Do
Own and continuously improve employee lifecycle processes, including onboarding, offboarding, contract changes, leave administration, and probation periods.
Prepare and maintain employment documentation and ensure employee records are accurate and up to date.
Own HR systems, including Zoho People, ensuring data quality, process efficiency, and accurate reporting.
Coordinate monthly payroll inputs with the Finance team.
Partner with managers on day-to-day people matters, providing practical guidance on HR policies, employee relations, and best practices.
Serve as a trusted first point of contact for employees, supporting them with HR-related questions throughout their employment journey.
Ensure HR practices comply with Estonian employment legislation and support compliance across global HR processes where applicable.
Prepare HR reports and insights to support business and People team decisions.
Coordinate recruitment activities when hiring needs arise, including maintaining candidate records in Zoho Recruit and ensuring a positive candidate experience.
Lead or coordinate employee engagement initiatives, internal events, and HR communications.
Identify opportunities to improve HR processes, policies, and employee experience, and drive those improvements from idea to implementation.
Collaborate with colleagues across Finance and other teams to ensure seamless HR operations.
What Success Looks Like
In your first months, you'll:
Build trusted relationships with employees and managers across the business.
Take ownership of day-to-day HR operations with confidence and minimal supervision.
Ensure our HR processes are accurate, compliant, and delivered with a great employee experience.
Identify opportunities to simplify or improve existing HR processes and help implement those improvements.
Become a reliable partner who managers turn to for practical HR guidance.
Requirements
3–5 years of experience in a broad HR role with ownership of the full employee lifecycle.
Solid knowledge of Estonian employment legislation and HR best practices.
Ability to work independently, prioritise effectively, and make sound decisions within your area of responsibility.
Experience partnering with managers and providing practical guidance on day-to-day HR topics.
Strong organizational skills with excellent attention to detail.
Strong problem-solving skills and the ability to balance business needs with employee experience.
A proactive, solution-oriented mindset with a continuous improvement approach.
Experience working with HRIS systems; experience with Zoho People is a plus.
Confidence in communicating with employees and managers at different levels of the organization.
Comfortable working in an international, fast-paced environment.
Professional working proficiency in Estonian, English, and Russian.
You're someone who enjoys creating structure, building relationships, and making things better. You're equally comfortable reviewing employment contracts, answering manager questions, coordinating payroll, or improving an HR process that could work more efficiently. You take ownership of your work, communicate openly, and thrive in a collaborative, fast-paced environment where no two days look exactly the same.
If you're looking for a role where you can make a meaningful impact, work with colleagues across multiple countries, and help shape the employee experience as our company continues to grow, we'd love to hear from you.
