ROLE PURPOSE
POD Unit has strengthened the Human Resources process and procedures through various improvements in all HR Processes to support the organization in providing the best services and partnering with the business. These include strategically reinforcing Localization and Partnership Management.
The HR Coordinator will support the People and Organizational Development (POD) Unit by managing and executing various HR processes with a strong focus on talent acquisition and data management. This role will involve end-to-end recruitment and ensuring the seamless implementation of HR strategies and policies.
KEY AREA OF ACCOUNTABILITY
Recruitment & Selection Coordination
- Manage end-to-end recruitment for assigned positions (job posting, CV screening, interview scheduling, assessment administration).
- Ensure high-quality candidate shortlists aligned with job requirements.
- Coordinate closely with Hiring Managers on position needs and timelines.
- Maintain recruitment processes that meet agreed SLAs.
Candidate Management & Experience
- Serve as the primary point of contact for candidates throughout the hiring process.
- Ensure a positive, professional, and timely candidate experience.
- Respond to candidate inquiries, provide status updates, and handle administrative needs.
Interview & Assessment Support
- Arrange and confirm interview schedules with internal and external stakeholders.
- Support panel members by preparing attendance lists, evaluation sheets, and documentation.
Documentation, Data Tracking & Reporting
- Maintain accurate and updated candidate data and recruitment status in the ATS or internal tracker.
- Prepare weekly/monthly recruitment reports (pipeline status, time to hire, open positions).
- Ensure proper documentation and compliance with HR processes and standards.
Offer Management & Onboarding Support
- Assist with preparation of offer letters, contracts, and supporting documents.
- Communicate offer details to candidates when required.
- Support onboarding activities such as preparing checklists and coordinating with other HR teams.
Stakeholder Coordination & Communication
- Collaborate effectively with Hiring Managers, HRBPs, and other internal teams.
- Provide regular updates on recruitment progress, challenges, and timelines.
- Maintain good relationships with external recruitment vendors (if applicable).
Employer Branding & Talent Pooling
- Support employer branding initiatives (career fairs, job ads, talent campaigns).
- Build and maintain a talent pool for future hiring needs.
- Conduct market research on talent trends, compensation insights, and competitor practices.
Compliance & HR Policy Alignment
- Ensure all recruitment processes comply with company policies and labor regulations.
- Maintain confidentiality of candidate information and HR documents.
QUALIFICATIONS AND EXPERIENCES
Essential
- Bachelor’s degree in Human Resources, Psychology, Business Administration, or related field. Additional certification in Recruitment, HR Management, or Talent Acquisition is an advantage.
- 4-5 years in recruitment, talent acquisition, or HR operations.
- Experience coordinating end-to-end recruitment processes (job posting, screening, scheduling, offer administration).
- Prior experience working with hiring managers or cross-functional teams.
- Experience using Applicant Tracking Systems (ATS) or recruitment management tools is preferred.
- Strong understanding of recruitment processes, assessment methods, and candidate screening techniques.
- Proficiency in using HRIS, ATS, or recruitment platforms (e.g., Jobstreet, LinkedIn, Kalibrr).
- Ability to manage recruitment trackers and prepare reports using Excel/Google Sheets.
- Good knowledge of labor regulations related to recruitment is a plus.
