POSITION SUMMARY:
The Human Resources Coordinator, Senior is a key member of the Human Resources team and serves as the primary HR presence in our Vancouver office. Reporting to the HR Manager in Toronto, this role provides day-to-day HR support to over 250 employees across Canada, including employees in Vancouver, Toronto, and remote locations. This position supports a fast-paced business environment with frequent employee movement, onboarding, offboarding, and project-based hiring activity. The successful candidate must be comfortable managing multiple priorities, shifting deadlines, and a high volume of employee activity.
 

The successful candidate will act as the HR Manager's trusted operational partner and will take ownership of a wide range of HR coordination, administration, benefits administration, employee support, and project-related activities. This is a highly independent role requiring strong organizational skills, attention to detail, sound judgment, and a proactive approach to work. The ideal candidate enjoys being the person others rely on to keep HR processes moving efficiently and accurately. In addition, there is an opportunity for learning and professional growth.


MAIN DUTIES:

Employee Support & HR Administration

  • Act as a primary point of contact for employee and manager HR inquiries across the Vancouver and Toronto offices, escalating complex matters as appropriate.
  • Provide guidance on established HR policies, programs, procedures, benefits, and employment-related processes.
  • Draft and maintain employment letters, employee records, electronic files, and other HR documentation.
  • Support employee onboarding, offboarding, leaves of absence, employment changes, and accommodation processes.
  • Conduct administrative fact-finding, information gathering, and documentation reviews in support of employee relations matters.
  • Maintain confidential employee information and ensure data accuracy.
  • Support performance management, employee engagement, and other HR initiatives through coordination and administration.
  • Assist with policy implementation and employee communications.
  • Support employee initiatives and office-based HR activities.
  • Build strong relationships with employees and managers across Vancouver and Toronto.

Benefits Administration

  • Act as the primary Benefits Administrator for Canadian health, dental, retirement savings programs, and corporate wellness and perks programs (e.g., GoodLife).
  • Coordinate employee enrollments, changes, terminations, and benefit inquiries.
  • Liaise with external providers and internal stakeholders regarding benefits administration.
  • Assist with benefits audits, reporting, renewals, and employee communications.
  • Ensure benefit records are accurate and up to date.

HR Coordination & Projects

  • Partner with HR Operations, Talent Acquisition, Payroll, Legal, HRIS, and other Centres of Excellence to support employee lifecycle activities.
  • Track HR activities, deadlines, documentation, and follow-up actions.
  • Maintain spreadsheets, reports, trackers, and HR metrics, including use of ClickUp for tracking tasks.
  • Support HR projects, audits, and process improvement initiatives.
  • Support Health and Safety Committees in both locations.
  • Identify opportunities to improve efficiency, consistency, and employee experience.
  • Provide administrative support for workforce changes and business initiatives as required.

  • Experience supporting a multi-location or remote workforce is an asset.
  • Entertainment, media, creative services, or technology industry experience is considered an asset.
