1-800-FLOWERS.COM, Inc. is seeking a detail-oriented and customer-focused HR Compliance Assistant to temporarily join our Human Resources team during our peak seasonal hiring period.
The HR Compliance Assistant will serve as a primary point of contact for new hires throughout the onboarding process. This position will conduct virtual Form I-9 appointments, review employment eligibility documentation, assist with background screening processes, and provide support to employees, hiring managers, recruiters, and HR partners.
The ideal candidate is organized, dependable, comfortable working with people, and able to manage multiple priorities while maintaining accuracy and confidentiality in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Conduct virtual Form I-9 appointments with new hires through Microsoft Teams and review employment eligibility documentation in accordance with federal requirements and company guidelines.
- Ensure Form I-9 documentation is completed accurately and within required federal timelines.
- Review completed background checks, monitor screening statuses, and assist with resolving issues or discrepancies as needed.
- Respond to onboarding and employment verification questions from new hires, employees, hiring managers, recruiters, and HR partners through Microsoft Teams and telephone support.
- Provide guidance to new hires regarding required onboarding documents and employment eligibility requirements.
- Assist employees experiencing issues with onboarding systems, employment documentation, or other onboarding requirements.
- Manage multiple scheduled appointments and onboarding cases while meeting established service levels, deadlines, and productivity expectations.
- Maintain the confidentiality of employee records and sensitive personal information.
- Provide additional HR onboarding, administrative, and seasonal hiring support as needed.
- High school diploma, GED, or equivalent combination of education and experience required.
- Previous experience in Human Resources, employee onboarding, recruiting support, customer service, administrative support, or a related environment preferred.
- Experience reviewing employment eligibility documentation, completing Form I-9s, or supporting background screening processes preferred but not required.
- Working knowledge of Microsoft Office, Microsoft Teams, and Outlook.
- Experience working with HRIS systems, onboarding platforms, or document management systems is a plus.
- Strong attention to detail with the ability to accurately review employment documentation and identify discrepancies.
- Excellent organizational and time management skills with the ability to manage multiple priorities and scheduled appointments.
- Strong customer service, verbal communication, and interpersonal skills.
- Ability to communicate procedures, requirements, and solutions clearly and professionally.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information.
- Strong problem-solving skills with the ability to recognize and resolve onboarding issues efficiently.
- Ability to follow established processes and compliance requirements consistently.
- Ability to adapt to changing priorities and business needs during periods of high seasonal hiring volume.
- Ability to work independently while collaborating effectively with Human Resources and Talent Acquisition teams.
- Ability to work onsite Monday through Friday for the duration of the temporary assignment.
- Ability to remain seated for extended periods while using a computer and telephone, with occasional standing and walking.
- Ability to perform work requiring sustained mental and visual attention, accuracy, and attention to detail.
- The position is generally performed in a professional office environment.
