Supporting the Senior HR Business Partner in terms of the employee lifecycle management including:
Onboarding, Offboarding and Transfer Processes
- Collating documents from new hires and transfer staff for the onboarding process
- Organizing HR induction sessions
- Initiating pre‐employment checks, reviewing and coordinating to resolve discrepancies to ensure the checks can be signed off in a timely manner
- Coordinating the relocation of transferring staff including coordination of the relocation provider quote process, airfare booking, and reserving temporary accommodation
- Liaising with Compliance and other departments as required for a smooth onboarding of new hires and transferred staff
- Co‐ordinating the offboarding process, including liaising with leavers on their leave balance and ensuring all paperwork are completed before the payroll cut-off date
HR Operational Support and Administration
- Assisting with data entries in the Workday system
- Handling 1st line HR policy and benefits questions from staff, ensuring accurate advice is provided and issues are escalated to the Senior HR Business Partner as necessary
- Maintaining the HR digital filing system
- Ensuring that the appropriate letters are prepared for key employment milestones and changes
- Tracking of the end of probation and contract extension notification process, reminding managers to confirm permanent employment or extensions of contract in Workday system and escalate issues to the Senior HR Business Partner as required
- Ensuring confidential invoices are processed in a timely manner
- Posting jobs on the Careers site and external job platforms as required
- Managing enrolment and termination of staff medical insurance
Payroll Coordination & Work Pass Process
- Coordinating with external payroll vendor on changes for monthly payroll processing for the Singapore office.
- Preparing and uploading of the employee and payroll-related data required on external payroll vendor’s system
- Preparing the final payment calculation sheet for leavers
- Maintain documentation and other supporting documents for payroll audit purpose.
- Assisting with statutory reporting to Singapore government authorities (i.e. MOM, MAS, IMDA Surveys etc)
- Executing the Work Pass application process (new application, renewal, cancellation etc.)
Reporting Requests
- Preparing regular and relevant adhoc reports with the appropriate level of detail and within fixed deadlines e.g. work pass expiry, contract expiry, probation expiry, leave reports, staff movement statistics etc.
Team support
- Providing back up cover for other team members as required
- Assisting with internal team training and continual improvement processes as required
- Bachelor’s Degree or above in Business or a related field
- Minimum 4 years relevant HR generalist experience, ideally from Banking and Finance industry
- Payroll experience will be an advantage
- Good understanding of Singapore local pay regulations and tax knowledge
- Highly organized and strong attention to detail
- Positive, proactive, team player, willing to roll up the sleeves to get the job done
- Intermediate to advanced computer skills especially in Excel (Formula / advanced Spread sheeting)
- Excellent command of both spoken and written English
- Experience in using Workday system will be preferred
