Role Overview
The HR Assistant provides foundational administrative and operational support to the Human Resources department, assisting with day-to-day HR processes, employee records, and coordination tasks. This role supports onboarding, compliance documentation, and routine HR inquiries while ensuring accurate recordkeeping and maintaining confidentiality. The HR Assistant works closely with HR Coordinators and HR leadership to help ensure smooth HR operations and a positive employee experience.
This is a hybrid position based out of our San Diego office. The on-site days will be Tuesday, Thursday, and Friday.
Salary:
$25.00- $27.00 per hour
Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualifications for the role.
Key Responsibilities
The Big Picture
- Support daily HR administrative functions to ensure efficient department operations.
- Assist with employee onboarding, personnel file maintenance, and compliance documentation.
- Serve as a point of contact for routine HR inquiries and requests.
- Maintain accuracy and organization of HR records and systems.
- Provide general administrative support to HR leadership and team members.
Specific Tasks
- Assist with onboarding and offboarding processes as needed
- Maintain and organize personnel files, including onboarding paperwork, I9 documentation, and archived records.
- Support requests and routine HR correspondence.
- Monitor and route messages from HR inboxes or shared communication channels.
- Assist with tracking required trainings, acknowledgments, and compliance documentation.
- Enter and update employee data in HR systems as directed.
- Support basic timecard edits and corrections under HR leadership guidance.
- Prepare HR forms, reports, and internal documentation as needed.
- Coordinate scheduling and administrative tasks for HR initiatives and meetings.
- Provide general clerical and administrative support to the HR team as assigned.
- Distribute and respond to mail inquiries as needed
Qualifications
- High school diploma or equivalent required.
- Coursework or associate degree in Human Resources, Business Administration, or a related field preferred.
- 1+ year of administrative or office support experience preferred.
- Exposure to HR processes or a professional services environment is a plus.
- Strong attention to detail and organizational skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and basic HR systems.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
