We are currently seeking a HR Assistant / Receptionist for our Shields Manufacturing facility in Tualatin Oregon.  

Salary Range:   $ 23 to $ 25 per hour 

Summary:

Working under moderate supervision, perform general clerical, HR administrative duties, records management and support projects.  Serve as the first point of contact for Shields Manufacturing. Greet and assist visitors and customers in face-to-face interactions or via telephone. 

Essential Duties/Responsibilities:

  • Greet and direct visitors, customers, contractors, etc. and ensure proper sign-in and name tag procedures, including ITAR compliance are consistently followed.
  • Check voicemail and make appropriate distribution.
  • Maintain a professional, clean and uncluttered reception desk and reception area.  
  • Set up and schedule interviews, ensuring prompt communication with all participants.
  • Facilitate Orientation for New hire employees.
  • Prepare daily and weekly reports. 
  • Support onboarding process, prepare paperwork, add employes to the HRIS.
  • Participate in the events committee and assist with employee / company events.  
  • Participate in Safety committee and take minutes as requested.
  • Ensure the accuracy and completeness of all information and documents stored in the HRIS.  
  • Update employee training records as needed
  • Tidy conference rooms.  
  • Other duties as assigned.

The ideal candidate will have:

  • College degree in Human Resources or three years’ related HR Administrative / Receptionist experience.  
  • Experience in a manufacturing environment (preferred)
  • Strong, professional verbal and written communication skills, with experience effectively communicating with all levels inside and outside of the organization. 
  • Proficiency using Microsoft Office suite (Outlook, Word, Excel, PowerPoint) required.  
  • Strong customer service skills including a helpful, polite and pleasant demeanor.
  • Experience and skill in exercising good judgment and discretion with a variety of situations and information.  
  • Experience and strong ability to effectively organize, manage time and multitask a variety of responsibilities to ensure timely completion of tasks and projects is required.  The ability to effectively plan and execute moderately complex administrative projects is preferred.
  • Experience assisting with events planning is preferred.     
  • Experience demonstrating ability to pay strong attention to detail with accuracy, with words, numbers and data entry.  
  • Self-motivated and directed, with the ability to effectively problem solve day to to day work situations.
  • Ability to reliably work 7:30 am to 4:00 pm Monday through Friday. An occasional weekend might be required.

Work Setting

  • General office setting with typical moderate noise levels in a temperature-controlled environment.   Desk and chair at a desk workstation in the lobby. 
  • Sitting for long periods of time, with occasional walking, standing, bending, twisting.   May occasionally lift up to 20 lbs.   
  • Uses a variety of office tools and equipment, including, but not limited to a computer, keyboard, mouse, printer, copier and other office machines.  
  • All work must be performed at the Shields office.
