Job Descriptions:

Essential Function: 

The Human Resources Administrative Assistant plays a key role in supporting HR operations and contributing to a positive, high-performance workplace culture. This position provides comprehensive administrative support to the HR department and assists in delivering a wide range of employee-focused and operational initiatives. The HR Admin works collaboratively with the HR team to ensure the efficient execution of HR functions and projects, while maintaining a high level of confidentiality and accuracy in all responsibilities. This role is essential in promoting quality, productivity, goal achievement, and the development of a strong and engaged workforce.

Essential Duties and Responsibilities: 

  • Accurately enter and manage employee data in HR systems; generate reports as needed.
  • Ensure data integrity within ADP and Workday by regularly auditing and updating records.
  • Maintain organized and complete personnel files in compliance with company and legal standards.
  • Support the preparation and facilitation of New Employee Orientation to ensure a positive onboarding experience.
  • Plan and coordinate employee recognition and appreciation events to foster engagement and morale.
  • Promote positive employee relations through proactive communication, timely issue resolution, and fair treatment.
  • Collaborate with the HR team to execute annual initiatives aligned with the Human Resources Operating Plan.
  • Provide administrative and logistical support for HR projects and activities.
  • Prepare, proofread, and submit departmental reports and filings, including those required by government agencies.
  • Manage office supply inventory and place orders to ensure department needs are met.
  • Deliver comprehensive administrative support to HR team members to enhance overall team efficiency.
  • Uphold and model the Mission and Core Values of Silfex in all interactions and responsibilities.
  • Demonstrate strong project and time management skills, effectively handling multiple priorities to completion.
  • Operate with a sense of urgency and a proactive mindset, thriving in a dynamic and complex organizational environment.
  • Perform additional duties and responsibilities as assigned.

 Qualifications:

  • Minimum of two years of experience in an administrative support role; prior experience in Human Resources is preferred.
  • High school diploma or equivalent required.
  • Proven experience handling data entry and managing sensitive information with discretion.
  • Familiarity with HR technologies such as HRIS and ATS systems is a plus.
  • Exceptional organizational skills with the ability to prioritize and manage multiple tasks effectively.
  • Demonstrates integrity and sound judgment in handling confidential and sensitive information.
  • Strong attention to detail and a high level of accuracy in work.
  • Excellent interpersonal and communication skills, with the ability to interact professionally across all levels of the organization.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Willingness and ability to work from multiple locations, including Springfield, OH and Eaton, OH, as needed.

Physical Demands: 

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  While performing the duties of this job the employee is regularly required to stand and use hands to finger, handle, or feel.  The employee is frequently required to reach with hands and arms.  The employee is occasionally required to walk; sit; climb or balance; stoop, kneel, crouch, or crawl and talk or hear. 

The employee is occasionally required to lift up to 30 pounds. The employee regularly is required to lift up to 10 pounds.  The vision requirements include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
