HOSPITALITY & VIP EXPERIENCES SENIOR PROJECT MANAGER

As the Senior Project Manager for Hospitality & VIP Experiences, you will be responsible for the flawless execution and delivery of unparalleled exclusive experiences for our esteemed clients, editors, celebrities, and ExCo members. Reporting to the Hospitality & VIP Experiences Manager, your role is to translate strategic briefs into tangible realities, driving the implementation of new brand hospitality frameworks across international markets with exceptional operational rigor and a deep understanding of luxury service and on-site event mechanics.

KEY RESPONSIBILITIES

Strategic Activations & Event Orchestration

  • Lead the end-to-end operational planning, execution, and delivery of complex VIP experiences and international events (e.g., lunches, cocktails, bespoke activations). This includes managing budgets, timelines, agency coordination, and ensuring flawless guest journeys from invitation to post-event follow-up.
  • Oversee the operational implementation of all creative and logistical elements for events, including gastronomic direction, artistic table decor, bespoke artistic programming (talent, choreography), model shows, and the production of event-related publishing tools.
  • Operationalize, deploy, and update central Experience Catalogs (Savoir-Faire and Heritage experiences), leveraging performance metrics to inform future updates and provide operational guidance to local market teams.
  • Ensure the on-the-ground execution of ultra-personalization strategies, manage the production of custom gifts, and oversee the daily workflow of concierge services, implementing SOPs to guarantee exceptional VIP request handling.
  • Prepare comprehensive post-event operational data and financial tracking to support the Manager in evaluating KPIs, ROI, and ROO.

Global Hospitality Projects & Retail Elevation

  • Support the structural development of global hospitality projects, executing experiential content and journeys in partnership with internal teams and specialized partners.
  • Contribute to elevating the retail customer experience by assisting in guest experience training programs and supporting the integration of hospitality and brand narratives with Sales and L&D teams.
  • Contribute to updating the Global Hospitality Playbook, deploying specific guidelines for various occasions, and tracking the operational development of branded hospitality items, budgets, and local market compliance.
  • Support the consolidation of technical and operational briefs required for the development of CVIP features and digital tools.

Cross-Functional Collaboration & Team Support

  • Mentor and supervise the department's intern, fostering a collaborative and agile work environment.
  • Support the deployment of international strategic guidelines for regional teams, and enrich/update the worldwide supplier directory and toolboxes.
  • Maintain the central reporting tool, gather content, and assist in deploying the quarterly internal newsletter on experiences and events.
  • Actively participate in international High Jewelry itinerance, managing on-site execution to ensure alignment with headquarters' standards, and leverage market presence to analyze new trends.

PROFILE

  • Minimum 6/7 years of progressive experience in project management, with a strong focus on luxury hospitality, high-end events, or client experience within a premium brand environment.
  • Proven ability to operationalize complex projects from strategic brief to flawless execution. Strong understanding of luxury hospitality standards, event mechanics, and procurement processes (SAP knowledge is a plus).
  • Exceptional organizational, planning, and multitasking abilities. Strong budget and timeline management. Excellent communication, negotiation, problem-solving, and stakeholder coordination skills.
  • Fluent in English and French (spoken and written).
  • Highly operational, detail-oriented, client-centric, autonomous, and proactive, with a strong sense of ownership and service excellence.
  • Frequent international travel required for on-site event coordination.
