Dropbox is seeking a Head of Travel & Expenses to lead and drive innovation across our global Travel, Expense, and Corporate Card operations. This full-time role, reporting to the Director of Procurement is critical for a data-driven leader who thrives in a dynamic, high-energy finance organization and aims to drive impactful results.

The Head of Travel & Expenses will shape the strategic direction for Dropbox’s travel and expense management, overseeing global operations and setting standards that align with Dropbox’s Virtual First ambitions. This role combines the responsibilities of developing and implementing global expense strategies and elevating travel operations to ensure seamless, compliant, and cost-efficient processes. 

This leadership position is ideal for someone with a strong foundation in global travel, expense management, and financial operations who is ready to elevate Dropbox’s Travel & Expenses program to support business objectives and foster a culture of compliance and excellence. The ideal candidate is a visionary with strong capabilities in leveraging technology, analytics, and strategic communication to scale global programs. The Head of Travel & Expenses must be capable of leading through influence and collaboration across all organizational levels, serving as a critical intersection of several cross-functional teams. You should have extensive experience in program management, communications, working through ambiguity, and designing and developing strategic programs.

Responsibilities

Strategic Leadership

  • Design and drive a global travel, expense and corporate card strategy.
  • Regularly refine policies to enhance cost savings, compliance, and user satisfaction.
  • Coordinate and mobilize cross-functional teams to support company-wide initiatives.

Vendor and Partnership Management

  • Build and maintain strategic relationships with key T&E vendors.
  • Monitor vendor performance to uphold service quality.
  • Collaborate with vendors on continuous innovation.

Travel Program Optimization

  • Implement tools and processes to improve user experience and efficiency.
  • Use data analytics to refine spend management and policy compliance.
  • Integrate risk management to prioritize traveler safety and business continuity.

Virtual First Support

  • Work with departments to plan and scale company-wide offsite events.
  • Ensure events are impactful, cost-effective, and aligned with strategic goals.
  • Collaborate to deliver meaningful experiences that meet business needs.

Expense Operations and Compliance

  • Lead global expense management, ensuring compliance with policies.
  • Manage corporate card program for effective support to employees and vendors.
  • Conduct regular audits to address and resolve compliance issues.

Reporting and Analysis

  • Prepare and present reports on cost savings, compliance, KPIs and satisfaction.
  • Offer data-driven insights to inform your strategy and guide senior leadership.
  • Identify improvement opportunities based on performance metrics.

Training and Support

  • Train team members and employees on travel policies and expense reporting.
  • Ensure timely reimbursements, quickly resolving issues.
  • Promote a customer-centric approach within the travel team.

Requirements

Experience

  • 7+ years of experience in global Travel and Expense management, with a focus on strategic program development and execution.

Skills

  • Data-Driven Mindset: A love for data and strong analytical skills to interpret insights, make data-informed decisions, and drive strategy.
  • Intellectual Curiosity and Creativity: A proactive learner with a creative approach to problem-solving and program development.

  • Storytelling and Executive Presence: Skilled in the art of storytelling, with a polished executive presence to communicate effectively with leadership and stakeholders.
  • Emotional Intelligence: High emotional intelligence to navigate relationships, influence cross-functional teams, and foster team morale.
  • Negotiation Expertise: Strong negotiation skills with extensive experience managing and optimizing vendor contracts.
  • Technology Savvy: Proficient in T&E management tools and software, with a keen interest in emerging technologies and a strong ability to harness tech for operational efficiency.
  • Project Management Excellence: Strong organizational skills to juggle multiple priorities and manage complex projects within tight timelines.

Education

  • Bachelor’s degree in Business, Finance, Travel Management, or a related field; an advanced degree is preferred.

Preferred Qualifications

  • Experience with travel risk management and compliance with international travel regulations.
  • Familiarity with expense management systems, travel booking tools, and vendor management platforms.
