The Role
The Group Assistant will support the CAA Brand Consulting Global COO's day-to-day operations and the Business Operations team, driving efficiency across our U.S. + Global offices. This position focuses on providing seamless administrative support to the COO—including calendar management, travel coordination, and meeting preparation—while helping the Business Operations team enhance workflows and cultivate a strong culture across the organization. The ideal candidate possesses a keen interest in business operations, sports & entertainment, sponsorships, partnerships, and experiential activations.
Responsibilities
Executive & Administrative Support
- Provide seamless day-to-day administrative support to the Global COO, including calendar management, travel coordination, and meeting preparation.
- Prepare accurate expense reports, produce professional correspondence, and handle general administrative tasks for the broader Business Operations team.
- Support the team (and/or account teams as needed) with ongoing projects by tracking timelines, managing status reports, and assisting with client billings.
- Conduct general market research as required, staying informed on industry trends, competitors, brand activity, territories, and key events.
Office Operations & Logistics
- Ensure the daily, smooth operation of the CAA Brand Consulting New York office
- Serve as the main point of contact for facility-related issues, coordinating directly with building management when necessary.
Employee Experience & Culture
- Support and help lead internal events, team meetings, and culture-building activities to strengthen the organization's team dynamic.
- Assist with the coordination of global and local new hire onboarding to ensure a welcoming employee experience.
Communications & Visitor Experience
- Streamline office communication channels, acting as a professional and efficient main point of contact for internal and external stakeholders.
- Manage the overall visitor experience, overseeing meeting preparation, hospitality coordination, and office tours when appropriate.
Qualifications
- Bachelor’s Degree preferably in Marketing, Communications, Business or similar discipline
- General understanding of current brand consulting industry and the nature of a talent and marketing agency
- Interest in entertainment and pop culture- follows trends, watches sports, awards shows, reads blogs, etc.
- Knowledge of and passion for marketing, brands, and events
- Self- starter and interested in exploring new business opportunities
- Must have excellent organizational and communication skills
- Need to be able to remain flexible and multi-task/juggle multiple tasks simultaneously while maintaining accuracy and a sharp attention to detail
- Excellent time management skills with the ability to meet deadlines
- Proficiency in Microsoft 365 (Word, Excel, Outlook, and PowerPoint). Note: strong use of PowerPoint required
- General understanding of AI and how it can be utilized operationally
- Team oriented and able to work in a fast-paced environment
- Creative and strategic thinker who has a pulse on tech, digital & social trends
- Familiarity with tracking and maintaining budgets is preferred
- Familiarity with financial concepts is preferred
Location
This role is based out of the New York office.
Compensation
The base hourly rate for this position is in the range of $20.00-$22.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
