Provide multifaceted coordination for the graduate student population throughout the life cycle of their degree programs. This position serves as the primary contact for all M.E., M.S., and Ph.D. students in Civil and Environmental Engineering (CEE), advising on plans of study and other academic opportunities (i.e. fellowships, internships and curricular practical training) in line with their academic and professional goals, and in conjunction with their faculty advisor(s). This position also serves as an information base for CEE faculty and administrators regarding international admission, foreign credential evaluation, and specific academic requirements related to international student visas.


This individual will be the primary Department liaison with the Office of Admissions, the Graduate School, the Office of International Programs, and other departments and units within the WSCOE.

Essential Job Duties:

Graduate Advising:

  • Serve as the primary contact for applicants and students in the Master of Engineering (M.E.), Master of Science (M.S.), and Doctor of Philosophy (Ph.D.) programs.
  • Provide resources and academic recommendations for graduate students and international students, advising current and prospective students on academic and administrative requirements.
  • Provide detailed and up-to-date information on course credit requirements, examinations, defenses, and international student support.

Graduate Admissions:

  • Develop and maintain standardized procedures, business processes, and systems for documentation and certification of all applicants to the graduate programs. Ensure efficient student application processing.
  • Execute the intake, review, and admission decisions for graduate applications in a professional and timely manner and in-line with established best practices.

Recruiting:

  • Identify and recruit quality students to the graduate program in Civil and Environmental Engineering.
  • As an effective recruitment tool, match graduate applicants to departmental graduate teaching assistantships (GTA), graduate research assistantships (GRA), and potential fellowships offered through the WSCOE and the Graduate School.
  • Research, initiate, develop, promote, and implement plans to support recruiting for the graduate program in CEE.

Other Associated Duties:

  • Initiate and maintain all GTA and GRA contracts and hiring documentation with human resources.
  • Work with Principal Investigators and RPMs to process all sponsor invoices to ensure timely tuition reimbursement payments
  • Help identify graduate students for awards and scholarships.

Conditions of Employment:
  • Pre-employment Background Check for new CSU hires.
  • Occasional events outside of standard business hours.
Supervision:
  • Supervises none.

Minimum Qualifications:
  • Bachelor’s Degree from an accredited university in engineering, STEM, liberal arts, cultural studies, public administration, counseling, or related field.
  • At least one year of experience providing one-on-one academic support or the equivalent for graduate students.
  • Familiarity with student development theories / developmental advising.
  • Demonstrated experience working with diverse populations.
  • Two or more years of experience in a customer-focused office environment.
  • Proficiency in Microsoft Office.
  • Strong communication skills including writing, interpersonal, presentation, and technical/computer skills. 

Preferred Qualifications:
  • Master’s Degree or higher in Engineering, STEM fields, student affairs, counseling, social sciences, liberal arts, or related area of study, or work experience in a graduate office/program.
  • Demonstrated ability in designing, implementing, and collaborating on academic programs.
  • Two or more years of experience providing one-on-one academic support for graduate students.
  • Experience with student-centered event planning, organizing, and implementation (such as student socials, prospective student visits, etc.).
  • Exposure to engineering in an industrial setting and/or experience working directly with engineering industry professionals.
  • Knowledge of higher education technology systems (such as Banner, Slate, Canvas).
  • Sensitivity to and appreciation of cultural, political, and geographical differences, with ability to work well with faculty, staff, and students from around the world.

Salary Range$65,000 - $75,000
